Adding Custom Information Fields to Opportunities

Add up to three custom fields to Opportunities to track PO numbers or other key info, auto-fill docs and reports for faster, accurate sales.

What Are Custom Information Fields?

Custom Information Fields let you capture and store additional details on each Opportunity. These fields appear on the Estimate tab inside an Opportunity and can also be used in reports and document templates.

Examples of how moving companies use these fields:

  • Purchase Order (PO) Number

  • Government Bill of Lading (GBL) Number

  • Internal Tracking Codes

How to Configure Custom Fields

  1. Go to Settings > Estimates > Customer Information Fields or click here to go straight there.

  2. You’ll see three available custom fields.

  3. For each field:

    • Enable the field by turning on the toggle.

    • Name the field (required if enabled). You can label it anything you like (e.g., PO Number, GBL Number).

💡SmartTip: Field names can include letters, numbers, spaces, and special characters (like hyphens).

Where the Custom Fields Appear

Once enabled, your custom fields will show up in two main places:

  1. Inside an Opportunity:

    1. Go to an Opportunity and open the Estimate tab.

    2. Your custom fields will appear on the right-hand side under Sales Information.

    3. Click the pencil icon to edit or add values.

    4. Values can include both letters and numbers (alphanumeric).

  2. In the All Jobs Report:

    1. When you export the All Jobs report, new columns for your custom fields will appear at the end of the report.

    2. The column headers will match the names you set in your settings.

    3. If no custom fields are enabled, these columns won’t appear in the report export.

Using Custom Fields in Documents

You can also insert custom field values into your documents and forms using SmartMoving tokens.

  • In your Document Library (settings > Forms and Documents > Document Library), open any document and go to Information Tags > Job Information.

  • You’ll see tokens for each custom field, labeled with your chosen field names.

When you generate a document (like an Invoice or Estimate), these tokens will automatically populate with the correct values from the Opportunity, if filled out. If a field is blank, the token will appear as an empty space.

Additional Notes

  • Editing Restrictions: You won’t be able to edit these fields once an Opportunity is in a terminal status (e.g., Closed, Lost, Bad Lead).

  • Document Tokens: Even if a custom field is currently disabled, SmartMoving will still replace the corresponding token in your documents (it’ll just come through blank if no value is set).

  • Automation Filters: At this time, these fields are not filterable or usable as conditions in Follow-Up Automations.
