How to Apply a Task to All Jobs in an Opportunity

Learn how to configure a task template in SmartMoving so a task is automatically created for every job on a multi-job opportunity, with due dates tied to each job's service date.

Overview

When an opportunity includes more than one job, some recurring tasks need to apply to every job, not just the first one. Task templates in SmartMoving let you configure individual tasks to apply to all jobs on an opportunity automatically when the template is triggered. Each job gets its own copy of the task, with due dates calculated relative to its service date.


Before You Start

  • You must have admin access to configure task templates in Settings.

  • This setting applies at the individual task level within a template, not to the template as a whole. You can mix tasks that apply to all jobs with tasks that apply only to the first job within the same template.


How to Configure a Task to Apply to All Jobs

  1. Navigate to Settings > Work Automation > Task Templates.

  2. Open an existing template or create a new one.

  3. Add a new task or select an existing task to edit.

  4. Set the task name, assignee, and Due Date as needed.

  5. Check the box below the Due Date field labeled Apply this task to ALL jobs in an opportunity.

  6. Save the task and the template.

Note: The checkbox is unchecked by default. Tasks without this setting checked apply to the first job in an opportunity only.


How It Works When a Template Is Triggered

When a task template that includes this setting is applied to an opportunity with multiple jobs:

  • A separate copy of the task is created for each job.

  • Each task's due date is calculated relative to that job's individual service date.

  • The job number is automatically added to the end of each task title so you can tell them apart. For example, a task called "Confirm packing materials" on an opportunity with two jobs would appear as "Confirm packing materials - Job 1" and "Confirm packing materials - Job 2".

πŸ’‘SmartTip: Use this setting for tasks that are tied to a specific job date, such as confirming crew, checking equipment, or following up after service. Tasks that apply to the opportunity overall, like collecting a deposit, do not need this setting.


What Happens When a Job Is Deleted

If a job is deleted from an opportunity, any tasks that were created for that job are also deleted automatically. Tasks created for other jobs on the same opportunity are not affected.


Troubleshooting

The checkbox is not visible when editing a task.

Confirm you are editing a task inside a task template under Settings > Work Automation > Task Templates, not a task added directly to an opportunity.

Tasks are only being created for one job, even though the checkbox is checked.

Confirm the opportunity has more than one job. If it has only one job, only one task will be created.

I cannot tell which task belongs to which job.

Each task title includes the job number at the end. Review the task list on the opportunity to see the full title for each task.
