Setting Up Your Email and SMS Signature

Save a formatted email signature and a short text message signature on your SmartMoving Profile page, then add them to your sales templates with the signature tag.

Overview

SmartMoving lets you save two personal signatures: a formatted one for email and a short plain text one for text messages.

  • You set both up yourself, on your own Profile page.

  • Once saved, a sales template can pull your signature in with the @YourSignature tag, so messages end with your own details instead of a shared company block.


Before You Start

  • You set up your own signature on your own Profile page. No special permission is required, and no one sets it up on your behalf.

  • Your signature is not managed from User Management. An admin editing your user record does not see or set your signature.

  • Both signature fields are optional. You can fill in one, both, or neither.


How to save your email and SMS signature

  1. Click your initials in the top right corner of SmartMoving, then click My Account.

  2. Find the Email & SMS Signature card, directly below the Contact Info card.

  3. In the Email Signature field, enter the sign-off you want at the end of your emails. Use the toolbar to format the text, change the size or color, align it, create a list, or add a link, an emoji, or an image. You can enter up to 4,000 characters, and the counter below the field shows how many you have used.

  4. In the SMS Signature field, enter a short plain text sign-off. You can enter up to 160 characters, and the counter below the field shows how many you have used.

  5. Click Save Changes at the bottom of the page. Your profile saves and both signatures become available to use straight away.


How your signature gets into a message

Saving a signature does not add it to your messages on its own. A signature is added by the @YourSignature tag in the sales template:

  • In an email template, the tag uses your email signature. In a text template, it uses your SMS signature.

  • When you send the template yourself from an opportunity, the tag uses your own saved signature.

  • When a template is sent automatically rather than by a person, the tag uses the signature of the salesperson assigned to the opportunity.

  • If an automated message goes out before a salesperson is assigned, the tag adds nothing and the message sends without a sign-off.


How to swap a typed-out signature in a template for the signature tag

If your sales templates already end with a signature typed directly into the template, that text stays exactly where it is. SmartMoving does not replace it with the tag for you. Remove it yourself, or messages sent from that template carry two signatures.

Whoever manages your sales templates should do this once per template:

  1. Go to Settings > Sales > Sales Templates and open the template.

  2. Find the signature typed at the bottom of the template and delete it, including any name, title, phone number, and logo that belong to one person.

  3. Insert the @YourSignature tag in its place.

  4. Save the template. Everyone who sends it now signs it with their own saved signature.

  5. Send yourself a test to confirm one signature appears, not two.

💡 SmartTip: Do this on shared templates first, since those are the ones where a single person's typed signature goes out under everyone's name.


Key Details

  • Both signature fields start empty for every user. Nothing is filled in for you.

  • Your signature is ready to use as soon as you save it. You do not need to sign out and back in.

  • Templates that already contain a typed-out signature are left as they are. The tag does not replace existing template content, so remove the typed signature yourself.

  • The SMS signature is plain text. Formatting is available on the email signature only.

  • Keep the SMS signature short. Every character counts toward the length of each text you send, and a longer text can be split into more segments, which affects your messaging costs. Templates are not shortened to make room for your signature, so its length is always added on top.

  • The character limits (4,000 for email, 160 for SMS) are enforced when you save, not only by the counter on screen.

  • If you leave a signature empty, the signature tag adds nothing. The message sends without a sign-off rather than showing a placeholder.

  • Your signature applies to sales messages sent from an opportunity. It does not change the automated notification emails your company has configured elsewhere.

  • Each person's signature is their own. Editing yours does not change anyone else's.


Best Practices

  • Include your name, your role, and one reliable way to reach you, rather than every phone number and address you have.

  • Keep the SMS signature well under 160 characters, since every character adds to the length of each text your company sends.

  • Avoid large images in your email signature. A small logo loads reliably, and a large one can be blocked or slow to appear.

  • Send yourself a test of a template that uses the signature tag, so you can see how your signature renders in a real inbox before customers do.

  • Update your signature when your role or phone number changes, since every template that uses the tag picks up the change automatically.


Troubleshooting

  • Your message sent with two signatures. The template still has a signature typed into it as well as the @YourSignature tag. Open the template in Settings > Sales Templates and delete the typed-out signature, leaving only the tag.

  • Your signature does not appear in a message you sent. The template you used does not include the @YourSignature tag. Ask whoever manages your sales templates to add it, and check that you saved a signature on your Profile page.

  • A message carries a colleague's name even though you sent it. The template has that person's signature typed into it rather than the tag. Replace the typed signature with @YourSignature so the template signs itself with whoever sends it.

  • Your email signature appears but your text messages have no sign-off. The two signatures are separate fields. Fill in the SMS Signature field as well.

  • You cannot type any more into the SMS Signature field. The SMS signature holds up to 160 characters. Shorten it, for example to your first name and company only.

  • Your changes did not save. The signature card saves with the rest of your profile. Click Save Changes at the bottom of the page, and check that neither signature is over its limit.

  • A message sent automatically carries someone else's signature. An automatically sent template uses the signature of the salesperson assigned to the opportunity, rather than whoever built the template or the rule.

  • An automated message has no sign-off even though the salesperson saved a signature. The message went out before a salesperson was assigned to the opportunity.
