How to create custom email / SMS messages and add tags and tokens to them

You can add and create an unlimited number of email and SMS templates.

However, only company admins can customize, enable, or disable templates.

To customize a template, first determine what kind of template you want to customize:

Where to go

What to do

Sales templates

Navigate to Settings > Sales > Sales Templates (or click here to go directly to the page).

  • Click Add Template to create a new template; OR

  • Click the name of an existing template to edit it.

Email / SMS templates

Navigate to Settings > Communication > Email / SMS Templates (or click here to go directly to the page).

  • Use the toggle to enable or disable a template.

  • Click the template name to edit it.

Template editor

Use the Email/SMS drop-down to choose if you'll edit the SMS only, the email only, or both.

If you select

  • Email Only, you'll only have access to the Email Editor.

  • SMS Only, you'll only have access to the SMS Editor.

  • Email & SMS, both editors will be accessible for editing.

Note: The image below shows that selecting SMS Only locks the Email Editor.

Email

The Email Editor allows you to create the content of your email template, format how it will look, and add tokens.

Format the message

The formatting options work very similarly to other word formatters.

  • Use the first row of icons to add or adjust the text formatting (bold, text alignment, etc.)

  • Use the second row to undo or redo a change or add lines of code, emojis, or tags.

Use tags to automatically add data

Tags automatically customize each customer's message by adding in customer-specific data. Depending on the template, you may have the option to add tags for:

  • company data

  • customer data

  • dispatch data

  • estimate data

To add a tag, you'll just click the area in the text field where you want to add the tag, click the tag type, and select the tag.

For example, to add a tag for a customer's first name:

  1. Click the location in the text field where you'll add the tag.

  2. Click the Tags icon and select the tags you wish to add.

Add a custom signature to sales templates

Your team member's information will appear at the bottom of all outgoing sales templates if you add a custom signature to them.

To add a customer signature,

  1. Click the location in the text field where the team member's signature should appear.

  2. Click the Tags icon and select the desired signature tag elements:

Whose information should be in the signature?

Use these tags

The person sending the template

  • Your Full Name

  • Your First Name

  • Your Email

  • Your Phone Number

  • Your Title

  • Your Website Address

The assigned sales rep

  • Sales Person (Full Name)

  • Sales Person (First Name Only)

  • Sales Person Email

  • Sales Person Phone

  • Sales Person Title

Here is a sample email signature with tags:

SMS

The SMS Editor includes a text box where you can edit the content of the message template, as well as the ability to add tokens.

Character limits

One SMS text message can hold up to 140 characters. For that reason, it's important to try to limit keep your messages to fewer than 140 characters, otherwise the customer may not receive all parts of the message (based on their carrier), and each message may incur additional billing charges.

Use tokens to automatically add customer data

Tokens automatically customize each customer's message by adding their name or other customer-specific data. To add a token,

  1. Click the location in the text field where the token data should appear.

  2. Click Add Token.

  3. Select the token.
