With Smart Marketing, you can create an automated campaign that targets leads who haven’t booked yet, saving time while keeping your pipeline moving.
Once scheduled, your campaign will check your segment daily and send a branded follow-up email to new eligible leads, no manual effort required.
What You’ll Accomplish
By the end of this setup, you’ll:
Build a Segment that targets not-yet-booked leads with future service dates
Customize a Template using your brand and recommended layouts
Create and schedule an Automated Campaign that runs daily at 9:30 AM (except Sundays)
Prerequisites
Before you begin, make sure:
You have access to Smart Marketing in SmartMoving
Your Brand is configured under Settings
Step-by-Step Setup
Step 1: Create Your Segment (Open/Not-Yet-Booked)
We’ll start by defining which leads qualify for this campaign.
Go to Segments > New Segment.
Name the segment (e.g. "Close Unbooked Leads") and hit Tag to apply the relevant tag, then select Create to establish your new segment.
Use a recommended/pre-built segment like “Unbooked Leads” as your base.
Apply these filters:
Lead Date: Created more than 15 days ago
Tip: Increase to 7–14 days for a slower cadence, or decrease to 2 days for quicker follow-ups.
Opportunity Status:
Include: New and In Progress leads
Why: By only including leads that represent viable prospects you omit those already Booked, Completed, or Lost. This way your campaign targets active opportunities still worth pursuing.
Service Date: More than 1 day in the future
Keeps your message relevant to upcoming moves.
Save your segment once it looks right.
You now have a focused list of valuable leads ready for follow-up.
Step 2: Prepare the Email Template
Choose a SmartMoving Recommended Template and click Duplicate Template.
Give your template a title and tag it.
Branding: Update your logo and brand colors to match your company.
Body content:
Review the content and make sure it represents your business and what you’re trying to achieve with this campaign.
Confirm all placeholder text is replaced (business name, phone, address, links, etc.).
Ensure buttons/links point to the correct destination (e.g., Contact/Booking page).
Consider adding your phone number as a clickable link for quick calls.
Test (optional): Send yourself a test email to verify layout.
Step 3: Create the Automated Campaign
Go to Campaigns > New Campaign.
Name your campaign (e.g., “Open Leads - Book Now” or “Book Leads”).
Set the Type to Automated Campaign.
Add Tags if you want easier tracking or reporting later.
Click Create.
Under Segment, select the one you built in Step 1 and click Next.
Complete your Email Details:
Step 4: Quality Checklist Before Launch
Before scheduling, make sure:
The correct segment is selected
The subject line is compelling and on-brand
Links and branding look perfect
There are no typos or placeholders left behind
Step 5: Schedule the Automation
You’re almost done. Let’s put it on autopilot.
Start Date: Choose when to begin sending (e.g., tomorrow).
Recurrence: Daily (except Sundays).
Send Time: 9:30 AM (recommended for best engagement).
Click Schedule.
SmartMoving will now check your segment each day at 9:30 AM.
Any new leads that qualify will automatically receive your follow-up email.
Best Practice Tips
Test Subject Lines: Try one with urgency (“Secure your move date”) and another with value (“Save time—book your move online”)
Include a Phone CTA: Some leads prefer to call. Add a bold, clickable phone link.
Add a Second Campaign: Clone this one with a 2-day lead delay for an earlier follow-up.
Personalize: Use merge fields (like First Name) to boost open and click-through rates.
Troubleshooting
Issue | Try This |
No emails sending | Re-check your segment filters (especially Lead Date and Status). |
Few bookings | Review where your button leads. Make sure it’s the easiest path to convert. |
