How to Download the Claims Audit Log

Generate a PDF audit report of claim forms and claim acknowledgment emails submitted within a selected date range, then download it from the emailed link.

Overview

The Claims Audit Log lets you generate a downloadable PDF that includes:

  • A form-style view of each claim submitted in the selected date range

  • The claim acknowledgment email content (HTML), included on its own page(s)

  • Any images attached to the claim

The report is generated from Settings, and a download link is delivered to your user email address once it’s ready.


Before You Start

  • Confirm you have access to Settings > Claims. If you do not see the Claims area in Settings, review your role permissions.

  • Choose an appropriate date range. Larger ranges can take longer to generate and may be emailed after processing.

Note: Dates shown in the emailed notification and report reflect your company’s configured time zone.


How To Do It

Step 1: Open the Claims Audit Log page

  1. In SmartMoving, go to Settings.

  2. In the left menu, expand Claims.

  3. Select Claims Audit Log.


Step 2: Select a date range

  1. Enter a Start Date.

  2. Enter an End Date.

💡SmartTip: Use the smallest date range that meets your audit needs (for example, a month at a time) to keep reports easier to review and faster to generate.


Step 3: Generate the report

  1. Click Generate Log.

  2. If the report requires additional processing, you’ll see a message indicating the audit log is generating and that you’ll receive an email with a download link when it finishes.

Note: The report is sent to your user email address regardless of file size.


Step 4: Download from the email link

  1. Open the email notification indicating your Claims Audit Report is ready.

  2. Click Download Report.

Note: The download link is available for a limited time (as shown in the email).


What’s Included in the PDF

The Claims Audit Log PDF is designed for audit documentation and includes:

  • Claim details in a basic form-style layout

  • The claim acknowledgment email body as HTML on separate page(s)

  • Claim images that were attached to the claim

Note: Claim acknowledgment emails are only included if the email content was stored at the time the acknowledgment was sent.


Best Practices

  • Run audit logs in smaller date ranges (monthly or quarterly) and save copies to your internal compliance archive.

  • Standardize acknowledgment templates so audit logs remain consistent across claims.

  • If you are auditing acknowledgments, confirm your team is sending them consistently as part of your claims workflow.


Troubleshooting

I clicked “Generate Log” but nothing downloaded

The audit log is generated asynchronously. Check for the on-screen message confirming it’s being generated, then watch for the email with the download link.

I didn’t receive the “report is ready” email

  • Check your spam/junk folder.

  • Confirm you are logged in with the email address you expect the report to be sent to.

  • If your date range is large, try generating a smaller range and compare results.

  • If you still don’t receive an email, contact your SmartMoving administrator to confirm your user access and email setup.

The PDF is missing acknowledgment email pages

Acknowledgment email content appears in the audit log only when the email body was stored at send time. If acknowledgments were sent before that storage behavior was enabled, they may not appear.

The report includes fewer (or more) claims than expected

  • Confirm your Start Date and End Date are correct.

  • Remember that displayed dates follow your company time zone, which can shift claims near midnight into a different day.
