Signing the Warehouse Release Document on Outbound Storage Opportunities

Learn how the Warehouse Release document appears for signing on Outbound storage opportunities in the Crew App, and how crews and customers review and sign it.

Overview

On Outbound storage opportunities, the Crew App surfaces the Warehouse Release document for signing when a crew completes a check. The document pulls in the opportunity's items, their intake conditions, item flags (such as oversized, high-value, and firearm), and totals, so the crew does not re-enter inventory details.

On Outbound opportunities, the Warehouse Release takes the place of the Delivery Inventory as the document that appears for signature. The Delivery Inventory stays available to open manually if you need it.


Before You Start

Available to accounts using SmartMoving Storage.

  • Crews and warehousemen sign the document in the Crew App. Shippers and customers can sign it from the customer portal.

  • No special permission is required beyond standard Crew App access for crews and warehousemen, and customer portal access for shippers and customers.

  • The document only surfaces this way on Outbound storage opportunities.


How To Do It

  1. Open an Outbound storage opportunity in the Crew App.

  2. Complete a check on the opportunity. When the check finishes, the Sign & Approve Inventory screen opens with the Warehouse Release document ready to sign.

  3. Review the intake table. It shows three columns: Item No., Articles, and Condition at Check-In. The Condition at Check-In column carries over the item details from intake, including flags, packing type, exceptions, and notes.

  4. Review each completed check page. Every completed check adds its own page in the order it was finished, with that check's items, any new damage, photos, and a signature block.

  5. Collect signatures for the section. Warehouse Cross Reference Check pages are signed by the warehouseman and the delivery crew. Final Destination Check pages are signed by the shipper and the crew.

  6. If the customer is present, have them sign on the device. Tap Sign to capture the signature and finish. The signed document records on the opportunity.

  7. If the customer is not available, turn on Customer not available to sign. A message confirms the customer will be emailed to sign and approve the inventory online. Add at least one recipient under Add Recipient, then tap Finish. The document goes to the shipper or customer to sign in the customer portal.

šŸ’” SmartTip: Use Start Check under the More Actions menu to begin the next check. Start Check stays available until every check type on the opportunity is completed and finalized, even when an opportunity was built from more than one opportunity and the same check type appears more than once.


Best Practices

  • Review the Condition at Check-In details before you sign. Once a later check is completed, earlier signed pages become read-only.

  • Complete and finalize every required check so the document closes out and the Start Check option clears.

  • Use Customer not available to sign on the Final Destination Check to email the document to a shipper who is off-site.

  • Add all relevant email recipients before you tap Finish so everyone receives a copy.


Troubleshooting

The Delivery Inventory document did not appear when I completed the check. This is expected on Outbound opportunities. The Warehouse Release replaces it as the document that surfaces for signature. You can still open the Delivery Inventory manually through View All Documents.

I see "Unable to prepare the inventory document for signing." Wait a moment and try again. If the message continues, contact SmartMoving Support.

I cannot finish because of an email recipient error. Add at least one email recipient before you tap Finish.
