Introduction to the Commercial Customer Portal

Learn what your commercial account contacts can do in the Commercial Customer Portal, including paying invoices, viewing their account statement, signing documents, and tracking claims.

Overview

Give the contacts on your commercial accounts a signed-in place to pay invoices, review their account statement, sign documents, and track claims.


Before You Start

  • Available to companies with Smart Pro.

  • You must have permission to access Settings to configure the Commercial Customer Portal.

  • Each contact you want to give access to needs an email address on their contact record.


What Your Contacts Can Do in the Commercial Customer Portal

The Commercial Customer Portal shows a contact only the account they are assigned to. The home page opens with Total Amount Due and a card for each area:

Review invoices and pay one by selecting Pay.

Account Statement

Review invoices, payments, refunds, and retracted payments with a running balance.

Claims

Track claim status and settlement amounts, and open a claim to add photos.

Documents

Open a document you have shared and sign it when you have requested a signature.

Storage Accounts

Open a linked storage account to review stored inventory.

Which cards have anything in them depends on what you have set up. Documents appear only when you turn on the Commercial Portal toggle for that document, and storage appears only when a storage account is linked to the project.


How a Contact Signs In to the Commercial Customer Portal

The Commercial Customer Portal uses a security code instead of a password. Contacts do not create or manage a password, and there is no password to reset.

  1. The contact opens the sign-in link from their invitation email.

  2. The contact enters their Email on the Sign In page.

  3. The contact chooses where to receive the security code, by email or text message.

  4. The contact enters the 6 digit code to finish signing in.

The result: the contact lands on the portal home page showing Total Amount Due for their account.

Note: The code is sent to the email address and phone number already on the contact record. A contact with no phone number on file can only receive the code by email.


How to Set Up the Commercial Customer Portal

Work through these in order. Each step has its own article in this collection.

  1. Customize your portal branding so the portal carries your company logo and colors.

  2. Configure your e-signature settings if you plan to send documents for signature.

  3. Turn on Commercial Portal Access for each contact who needs it.

  4. Send each contact a portal invitation.


Key Details

  • A contact sees only the account they are assigned to. An invoice or claim on another account is blocked even with a direct link.

  • Commercial Portal Access can be turned on for account, project, and job contacts. Access belongs to the contact, so it applies everywhere that contact appears.

  • Two areas hand the contact to another experience. Opening a claim moves them to the customer portal claim page, and opening a storage account moves them to the Storage Portal. Both are expected.

  • The Commercial Customer Portal is separate from the residential customer portal and from the Storage Portal. Branding and settings configured for one do not carry to the others.

  • Contacts cannot open a claim themselves. Your team creates the claim on the commercial job and the contact tracks it from the portal.

  • Six email templates drive portal communication, all under Settings > Email/SMS Templates in the Commercial category: Commercial Portal Invitation, Send Document, Document Completed Customer Notification, Document Signed, Project Payment Receipt, and Send Project Invoice.


Best Practices

  • Set your portal branding before sending the first invitation so contacts see your company identity from their first visit.

  • Give portal access to the contact who actually approves invoices, since paying an invoice is the most common reason a contact signs in.

  • Confirm the Commercial Portal Invitation template is enabled before working through a list of contacts, since the invitation action is unavailable while it is off.

  • Review which documents have the Commercial Portal toggle on before inviting a contact, so they see the right paperwork on their first visit.
