How to Give a Contact Storage Access in the Commercial Customer Portal

Learn how linking a storage account to a commercial project lets your account contacts review their stored inventory from the Commercial Customer Portal.

Overview

Give a commercial account contact a way to review stored inventory by linking a storage account to their project.


Before You Start

  • Available to companies with Smart Pro.

  • Your company must be using SmartMoving Storage.

  • The contact must have Commercial Portal Access turned on and have signed in to the Commercial Customer Portal.

  • The storage account must already exist, or you can create one from the project.


How to Link a Storage Account to a Commercial Project

  1. Open the commercial project.

  2. Locate the Storage Accounts card on the Overview tab.

  3. Click Link Storage Account.

  4. Search by Storage Account, contact, lot number, or container number.

  5. Select the storage account and confirm.

The result: the storage account appears in the Storage Accounts card, and contacts with portal access can reach it from the Commercial Customer Portal.

Note: When a project has no storage accounts, the card reads "There are no storage accounts for this project." Use Add Storage Account to create a new one, or Link Storage Account to attach an existing one.


What a Contact Sees for a Linked Storage Account

The Storage Accounts page in the Commercial Customer Portal lists each linked storage account with these columns:

  • Account

  • Status

  • Move In

  • Est. Move-Out

  • Next Invoice

  • Balance

  • Card on File

A contact with no linked storage accounts sees "No storage accounts."


How a Contact Opens a Storage Account

  1. The contact signs in to the Commercial Customer Portal.

  2. The contact selects Storage Accounts.

  3. The contact selects a storage account.

The result: the Storage Portal opens for that storage account, where the contact reviews the stored inventory. The Storage Portal is a separate experience from the Commercial Customer Portal, so the contact leaves the commercial portal at this point.


Key Details

  • A contact reaches storage through the project, so a storage account with no linked project is not visible to them.

  • Linking a storage account does not move any inventory or change any charges. It connects the two records.

  • A linked storage account shows its linked project on the storage account record, so your warehouse team can see which commercial project it belongs to.

  • Balance and Next Invoice are visible to the contact, so confirm both are correct before pointing a contact at the portal.

  • Inventory detail, item photos, and release requests are all handled in the Storage Portal rather than the Commercial Customer Portal.


Troubleshooting

  • My contact cannot see their storage in the portal.

    • Open the commercial project and confirm a storage account is listed in the Storage Accounts card. Without a linked storage account the contact sees "No storage accounts."

  • I cannot find the storage account in the link search.

    • The search matches on storage account, contact, lot number, and container number. Try the lot number or container number if the account name is not matching.

  • My contact says the storage inventory looks empty.

    • Confirm the storage account has inventory items on it. A storage account with no items shows an empty state rather than a list.


Best Practices

  • Link the storage account when you create the project, so the contact sees a complete picture from their first visit.

  • Use the lot number or container number when searching, since those are unique and faster to match than a company name.

  • Tell contacts that opening a storage account moves them to the Storage Portal, so the change of screen is expected.
