Overview
Referral sources in SmartMoving track where your leads and opportunities come from. On the Referral Sources settings page you can add sources, rename them, control whether each is public, and retire ones you no longer use. Instead of deleting a source, you archive it. Archiving hides the source from the pickers you choose from when creating new leads and opportunities, while every past record and report that already uses it stays intact. If you need a source again, you reactivate it.
By the end of this article, you will know how to archive a referral source, how to reactivate one, and what archiving does and does not change.
Before You Start Managing Referral Sources
Referral sources are managed in SmartMoving Settings. You need access to your company settings to manage them.
Do not add lead providers to your referral source list. SmartMoving adds a lead provider automatically when you enable it, so adding it here causes duplicate entries.
Accessing the Referral Sources Settings Page
To manage referral sources, go to Settings, select Sales, then select Referral Sources. The page opens on the Active tab and lists your current referral sources.
Adding and Editing a Referral Source
On the Active tab of the Referral Sources settings page:
To add a source, type the name in the field at the bottom of the list and select Add New Referral Source. The source appears in the Active list.
To rename a source, select its name and edit it in place. The new name saves automatically.
To change whether a source is public, open the three-dot menu at the end of its row and select Make Public or Make Private. Public referral sources appear on any SmartMoving lead forms on your website.
Archiving a Referral Source
Archiving retires a referral source without deleting it. To archive a source on the Referral Sources settings page:
On the Active tab, find the source you want to retire.
Open the three-dot menu at the end of its row.
Select Archive. The source moves to the Archived tab and no longer appears as a choice for new leads and opportunities.
After you archive a standalone source, a brief undo option appears so you can reverse the action right away.
If the source you archive has other sources grouped under it, a confirmation dialog titled Archive Referral Channel? appears. It states how many sources are attached and explains that archiving hides the channel and its sources from new leads, and that they are restored if you reactivate. Select Yes, archive to continue.
What Archiving a Referral Source Changes
Archiving a referral source affects only new leads and opportunities. Specifically:
The source is removed from the Active tab and from the referral source pickers and dropdowns used for new leads and opportunities.
Existing leads and opportunities that already use the source keep it, and the source continues to appear in reports.
The source moves to the Archived tab, where it is available to reactivate at any time.
The Archived tab shows a reminder that reads "Archived sources stay on historical jobs and reports."
Reactivating an Archived Referral Source
Reactivating returns an archived source to active use. To reactivate a source:
On the Referral Sources settings page, select the Archived tab. Each tab shows a live count of the sources it contains.
Find the source in the list. The Archived tab shows each source's Description and the Archived On date.
Open the three-dot menu at the end of the row and select Reactivate. The source returns to the Active tab and can be selected again for new leads and opportunities.
Referral sources that were removed under the earlier Delete behavior appear on the Archived tab, so you can recover them yourself without contacting SmartMoving Support.
Referral Sources That Cannot Be Archived
System referral sources, such as Affiliate and Other, cannot be archived. These sources display a System label. In their three-dot menu, the Archive option is disabled and a tooltip explains "System sources can't be archived." Every referral source you create yourself can be archived.
Best Practices for Managing Referral Sources
Archive referral sources you no longer offer instead of trying to delete them, so your historical reporting stays accurate.
Reactivate an archived source rather than creating a duplicate when you start using a source again.
Leave system sources such as Affiliate and Other in place, since they support lead attribution and cannot be archived.
Troubleshooting Referral Sources
You do not see an Archive option for a source.
The source is a system source, such as Affiliate or Other. System sources display a System label and cannot be archived. Their Archive option is disabled with the tooltip "System sources can't be archived."
A referral source disappeared from the new-lead dropdown.
The source was likely archived. Open the Referral Sources settings page, select the Archived tab, find the source, and select Reactivate to make it selectable again. Archiving never removes the source from leads, opportunities, or reports that already use it.
The Archived tab shows sources you did not archive.
Referral sources removed under the earlier Delete behavior appear on the Archived tab automatically. You can reactivate any of them without contacting SmartMoving Support.
