Learn about the various automated Email notifications that SmartMoving can send.

The notifications that can be sent from SmartMoving can be found by navigating to Settings -> Communication -> Email/SMS Templates. These templates can be customized and toggled on or off.

Any template that has the automated symbol next to it, is a notification that is automatically triggered to be sent from SmartMoving. For any notification that is not automatically sent from SmartMoving, you will be able to select to send the notification for each opportunity. Many notifications allow you to select which contacts you want to send the notification to and allow you to select to send the notification to multiple contacts.


New Opportunity

  • New Quote Received: Sent automatically to sales users when a new lead comes in either via a lead provider or through your website (assuming your website is integrated with SmartMoving). This notification can be sent by email, SMS, or both.

  • New Quote Request (Customer) Response: Sent automatically to the customer when a new lead comes in either via a lead provider or through your website (assuming your website is integrated with SmartMoving). This notification can be sent by email, SMS, or both for leads submitted through your website. The notification for new leads will be sent by email.

Active Opportunity

  • Customer Payment Made: Sent to the salesperson on an opportunity when a customer pays their deposit via the Customer Portal. This notification can be sent by email, SMS, or both.

  • Customer Submitted Inventory: Sent automatically when a customer submits their inventory through the Customer Portal. This notification can be sent by email, SMS, or both.

  • Document Completed Customer Notification: Sent automatically to the customer when a document is signed. This notification can be sent by email.

  • Document Signed: Sent automatically to the salesperson when a customer signs a document. This notification can be sent by email, SMS, or both.

  • Estimate Accepted: Sent to the salesperson on an opportunity when a customer clicks "Accept Estimate" or digitally signs their estimate document. This notification can be sent by email, SMS, or both.

  • Estimate Signed/Accepted Customer Notification: Sent automatically to the customer when an estimate is signed or has been accepted. This notification can be sent by email.

  • Job Cancelled: Sent to the customer when their opportunity has been canceled. If this template is enabled, then you will be able to select which contacts to send a cancelation notification to. You can also select to not send a cancelation notification for the opportunity. This notification can be sent by email, SMS, or both.

  • Job Confirmed: Sent to the customer when their job is confirmed. This notification can be sent by email, SMS, or both.

  • Job Reminder: Sent automatically to the customer the day before their scheduled move date at 6:00 AM Central Standard Time.  This notification only fires if the job has been booked. This notification can be sent by email, SMS, or both.

  • Job Rescheduled: Sent to the customer when a previously booked job has been rescheduled. This notification can be sent by email, SMS, or both.

  • New Email or SMS Reply: Sent automatically to the salesperson when a customer replies to an email or SMS message. This notification can be sent by email.

  • Opportunity Booked: Sent to the customer once their opportunity has been booked. This notification can be sent by email, SMS, or both.

  • Request Inventory: Sent to the customer requesting that they submit their inventory through the Customer Portal. This notification can be sent by email, SMS, or both.

  • Send Document: Sent to the customer when you click to Send Signature Request to have a document signed. This notification can be sent by email, SMS, or both.

  • Send Quote: Sent to the customer when you have selected to send Send Estimate. This notification can be sent by email, SMS, or both.

After Job

  • Job Completed: Sent when a job is completed by the crew via the mobile app (i.e.: they click the Finalize Job button and have selected to Send the contract to the customer). This notification can be sent by email, SMS, or both.

    • For companies not using the mobile application, finalizing a job via the accounting module will also populate the option to send this notification.

  • Move Review: Sent automatically when a job is completed by the crew via the mobile app (ie: they click the Finalize Job button and select to Send the review to the customer). This notification can be sent by email, SMS, or both.

    • For companies not using the mobile application, finalizing a job via the accounting module will also populate the option to send this notification.

  • Payment Receipt: Sent to the customer once a payment has been made. This notification can be sent by email, SMS, or both.

  • Send Invoice: Sent to the customer as an attachment in an email or as a clickable link in an SMS message. This notification can be sent by email, SMS, or both. For more information on sending invoice read: Send an Invoice from the Accounting Section.

Calendar

  • Event Cancelled - Customer Notification: Send to the customer when an on-site estimate or a box delivery has been cancelled. This notification can be sent by email, SMS, or both.

  • Event Cancelled - User Notification: Sent to the user assigned to the event when an on-site estimate or a box deliver has been cancelled. This notification can be sent by email, SMS, or both.

  • Event Scheduled - Customer Notification: Sent to the customer when an on-site estimate or a box deliver has been scheduled or has been rescheduled. This notification can be sent by email, SMS, or both.

  • Event Scheduled - User Notification: Send to the user that is assigned to the event when an on-site estimate or a box delivery is scheduled or has been rescheduled. This notification can be sent by email, SMS, or both.


Affiliates

  • Affiliate Welcome: Sent automatically when you invite a new affiliate user.  This is only sent if you enter an Email and/or phone number for the affiliate. This notification can be sent by email, SMS, or both. For more information on adding affiliates visit: Add an Affiliate to Your Affiliates List.

Distribution Lists

The Email(s) these are sent to can be configured in your SmartMoving settings under Company -> Distribution Lists.

  • Customer Inventory Submitted: Sent automatically to the recipients configured on the distribution list when a customer has submitted their inventory. This notification can be sent by email, SMS, or both.

  • Document Signed: Sent automatically to the recipients configured on the distribution list when a document has been signed. This notification can be sent by email.

  • Estimate Accepted: Sent automatically to the recipients configured on the distribution list when a customer clicks "Accept Estimate" or digitally signs their estimate document. This notification can be sent by email, SMS, or both.

  • Job Cancelled: Sent automatically to the recipients configured on the distribution list when a job is canceled from anywhere in SmartMoving (the most common place is in the estimate editor). This notification can be sent by email.

  • Low Review Received: Sent automatically to the recipients configured on the distribution list when a low review is received. This notification can be sent by email.

  • Opportunity Booked: Sent automatically to the recipients configured on the distribution list when a salesperson selects to Book a job in the sales module. This notification can be sent by email.

Storage

  • Paid Invoice Notification: Sent automatically to a customer once their storage invoice has been paid. This notification can be sent by email.

  • Sent Storage Portal: Sent to the customer to provide them with a link to the online storage portal. This notification can be sent by email.

  • Unpaid Invoice Notification: Sent automatically to a customer when their storage invoice is not paid by the due date. This notification can be sent by email.

Operations

  • Crew Job Notification: Sent automatically to crew members when the dispatch schedule for a day has been published. The crew members will only receive the notification if they have been scheduled to work that day. This notification can be sent by email, SMS, or both.
