How to connect your SmartMoving and QuickBooks Online accounts

You can connect your SmartMoving account to your QuickBooks Online account.

IMPORTANT: Activating QuickBooks sync will not sync any existing transactions. Only new transactions that are changed or updated going forward will be synchronized.

STEP 1: Connecting to QuickBooks Online

Navigate to Settings > Integrations > QuickBooks / Intuit (or click here to go directly to the page).

First, click Start and use the pop up to log in to QuickBooks.

Next, if you have multiple companies set up in QuickBooks, you'll select the company you want to link with SmartMoving using the drop-down menu. Note: If you only have one QuickBooks company, you will not see this step.

Then, on the "Connection successful!" screen, click Close Window and click Yes on the SmartMoving screen.

Next, wait while SmartMoving pulls in your QuickBooks information. "Currently updating, please wait" will appear until the process is complete.

Then, click the top row of tabs to configure your mappings by selecting an option for each of the drop-down menus. Complete this for all of the mappings tabs (e.g., job mappings, storage mappings, and account mappings. Location mappings are optional).

Note: You must create the product or service in QuickBooks before it will appear in the drop-down menus. You can map everything to a single line item if desired, or you can track local or long distance services separately by creating separate products or services in QuickBooks and then mapping them here in SmartMoving.

STEP 2: Updating your QuickBooks settings (IMPORTANT)

In QuickBooks, navigate to Settings > Account and settings.

First, click the Advanced tab on the left, and click the Automation section to make the options editable.

Then, turn off the Automatically apply credits toggle and click Save. SmartMoving will automatically apply payments, credits, etc., so turning off this option ensures that there are no conflicts between SmartMoving and QuickBooks.

Note: The slider will appear gray once turned off.

Ready to Sync!

Once these steps have been completed, you are ready to begin syncing jobs and storage information between your QuickBooks and SmartMoving accounts.
