Documentation on utilizing the SmartMoving and RIG integration that allows you to offer insurance when creating an estimate.

SmartMoving's Relocation Insurance Group Integration

Through a recent partnership with Relocation Insurance Group, you can now place moving insurance to your customers without needing to complete the quote outside of SmartMoving.

This integration is currently only available to companies that are current clients of both Relocation Insurance Group and SmartMoving. If you are currently a customer of both SmartMoving and RIG, please reach out to your Customer Success Manager and they will assist you in setting up the integration. Once your integration has been enabled, follow the steps below to create a moving insurance quote.

Moving Insurance Overview

In this section, you'll learn: The basics of moving insurance coverage.

Coverage is provided for household goods against most causes of damage or loss, including loading, unloading and transit-related damage and mysterious disappearance, as well as catastrophes. Customers insure the full shipment at a minimum value of $8 times the shipment weight.

These policies are good for up to 90 days or until delivery is complete, whichever occurs first. Policy extensions may be purchased in monthly increments should the goods remain in storage past the initial 90 days. Goods must be stored within an approved warehouse location for the duration of coverage.

Lump Sum Declared Value

Remember that the entire shipment is insured, and the customer is only required to list high value items over $2,000.

The declared value is calculated to be a minimum of the weight of the shipment multiplied by $8. (Ex: 10,000 pounds x $8= $80,000 minimum declared value)

  • If a customer doesn’t feel that the weight-based minimum is enough to adequately insure their belongings, they can certainly insure at a higher value. This calculation is simply a minimum requirement.

  • If a customer’s high valued inventory exceeds the amount of the weight-based minimum, they should declare a value that accounts for not only the high valued items but also the items not listed.

  • If the weight increases after loading, we can increase the value as long as this change is made prior to delivery. This is the only change we can make after the move has started.

Full Service All Risk Limitations

PBOs
Packed By Owner items are limited in coverage to a maximum of $250 per box and $2,500 maximum for all owner packed boxes, when new cardboard cartons are used, in the case of loss or damage.
*Note that new items still packed in the manufacturer packing are also considered PBOs.

Shipments Originating From Storage
RIG is unable to offer coverage for shipments originating from storage, whether it be self-storage or a mover’s warehouse.

Shipments With No Transit

RIG is unable to insure shipments involving no transit or being moved within the same property (i.e. One floor to another, garage into the house, etc.).

Packing and Crating Requirements

Delicate Items

Delicate or out of the ordinary items including, but not limited to, glass or marble tabletops, mirrors, slates, taxidermy, paintings, framed pictures, statues and chandeliers.

  • Delicate or fragile items valued from $5,000 to $9,999 must be professionally packed in a solid wood crate.

  • Delicate or fragile items valued from $10,000 and above must be packed and unpacked in a solid wood crate by an approved third-party crating company.

Motorcycles and Motor Scooters

  • Must be crated in a solid wood crate at residence or on the truck at residence.

  • Motorcycles or Motor Scooters valued at $5,000 or more need to be crated by a certified third-party company.

Bicycles

  • Bicycles valued at $5,000-$9,999 must be professionally crated in a solid wood crate at residence.

  • Bicycles valued at $10,000 or higher must be solid wood crated and uncrated by an approved 3rd party company.

Pianos

Any piano being moved internationally, or with a value of $25,000 or more, must be professionally crated and uncrated by a certified third-party service in a solid wood crate, and any exceptions noted on the paperwork.

Grandfather Clocks

  • Must be serviced by a third-party company, pendulum and weights removed, chains secured, pulley secured w/ Styrofoam blocks.

  • Must be packed in grandfather clock box or crated in solid wooden crates. Grandfather Clocks valued from $5,000 to $9,999 must be professionally packed in a solid wood crate.

  • Grandfather clocks valued from $10,000 and above must be packed in a solid wood crate by an approved third-party crating company.

Televisions

  • TVs must be professionally packed in a TV box. If the TV does not fit, it must be crated in a solid wooden crate.

  • TVs valued $5,000-$9,999 must be professionally crated in a solid wood crate.

  • TVs valued at $10,000-$14,999 must be crated in a solid wood crate at residence and uncrated by an approved 3rd party company.

  • TVs valued at $15,000 or higher are excluded from coverage.

  • TVs wrapped only in cut down cartons or moving pads will be denied.

Sets

Items listed as a set, such as “Bedroom Set” or “Dining Room Set”, will be considered equal value. If the items are not of equal value, customers should be directed to separate out the items within the set and declare the individual pieces’ replacement values.

Mattresses & Box Springs

  • Must be packed in mattress cartons except for twin mattresses.

  • Twin mattresses, excluding split kings, can be packed in mattress bags.

Third Party Crating Companies

RIG has negotiated discounted rates for our customers with the following companies. Please be sure to tell them you were referred by Moving Insurance, LLC for accurate quoting of these discounted rates.

Additional Exclusions and Limitations

  • Any item constructed of any type of engineered wood, manufactured wood, veneered chipboard, particle board, MDF –medium density fiberboard, composite board, press board, press wood, or similar is excluded from coverage.

  • Policies do not insure the following items: Jewelry, watches, gemstones, cash, currency or bank notes, deeds, travelers check, coin or stamp collections, sports memorabilia, alcoholic beverages, foods, medications, negotiable items, furs or garments trimmed with fur, ammunition, contraband, cigarettes, laptop or tablet computers, mobile or cellular telephones.

  • Non-household items, or items that are considered for commercial, industrial or non-household use including merchandise for sale or exhibition, are excluded from coverage.


Creating a Moving Insurance Quote

In this section, you'll learn:
How to start, share, and complete a moving insurance quote through Relocation Insurance Group without leaving SmartMoving.

How to Start a Moving Insurance Quote

Step 1: Create an opportunity.

Step 2: From the estimate tab of the opportunity, navigate to the Inventory panel.

Step 3: Click the Start Insurance Quote button.

Some fields are required to be entered before starting an insurance quote. If any of the required information is missing, SmartMoving will populate a dialogue box informing you of the information that must be entered before starting an insurance quote.

Share the Insurance Quote with the Customer

The moving insurance quote wizard is designed for a salesperson from your moving company to complete while speaking with a customer. The customer should be following along as the salesperson progresses through the moving insurance wizard. Before the salesperson begins the moving insurance wizard, they should share the moving insurance quote with the customer.

To share the insurance quote with the customer, select Share Insurance Quote.

Then, select which contacts to send the moving insurance quote to and if you would like to send the quote by email or SMS message.

Finally, select Share Quote to send the quote to the desired recipient(s).

Completing the Relocation Insurance Group Moving Insurance Quote Wizard

The wizard is a quick four-step process. If along the way your salesperson runs into any issues, they can reach out to Relocation General Insurance for assistance with the moving insurance quote.

Step 1: Review Move

From the Review Move page, enter the minimum required coverage for the move. This amount is based on the size and weight of the shipment. The number that is prepopulated in this field is the recommended minimum coverage for that shipment.

This amount can only be in round $1000 increments. Therefore, you could not enter $104,500 as the minimum coverage. The amount would automatically round to $105,000.

Once the minimum required coverage has been entered, select Next Step to move on to Step 2.

Step 2: Choose Options

Select Choose Deductible under the option that your customer would like to purchase for their move. The level of coverage in each option is the same.

Step 3: High-Value Items

From the High-Value Items screen, enter any items that would cost $2,000 or more to replace. If an item is not listed the item will only be covered for up to $2,000.

If any high-value items are considered works of art, checkmark the "Art" box after entering the value of the item.

Once all information about an item has been entered click Add to add the item to the list of high-value items.

High-value items can be edited or deleted once added to the High Value Items list. To edit an item, select the edit icon. To delete an item from the High-Value Items list, select the trash can icon.

Once all high-value items have been entered, select Finish and Review on the insurance summary panel.

Step 4: Review

Review the coverage summary with the customer. If everything is correct, select Finish and Pay.

The customer must sign their quote before being able to collect payment. The customer's quote will be valid until two days before the first date of service on their opportunity. Once within two days of the first service date, coverage can no longer be finalized. To share the quote with the customer to allow them to sign the policy, select Share Insurance Quote located on the bottom right-hand corner of the Insurance Wizard screen.

Step 5: Payment

Once the customer has signed their policy, payment can be collected. To collect payment select Continue to Payment. The payment information can be input by the customer or by the salesperson.

After the payment information has been entered select Pay Now to capture the payment.


Completing the Insurance Wizard: Steps for the Customer

In this section, you'll learn: How you can share a moving insurance quote with a customer and allow them to complete the sign-up process on their own.

While the moving insurance quote wizard is designed for a salesperson from your moving company to complete while speaking with a customer, if you prefer to allow the customer to complete their policy on their own, that option is available. To share the moving insurance quote with the customer for them to complete on their own, follow the steps below.


Steps for Salesperson: Sharing the Quote with the Customer

Step 1: Select Share Insurance Quote.

Step 2: Select which contacts to send the insurance quote to and if you would like to send the quote by email or SMS message.

Step 3: Select Share Quote to send the quote to the desired recipient(s).

The Steps Your Customer Will Complete

The steps that the customer will complete are the same that a salesperson would complete on behalf of the customer. In both cases, the customer will be the one to sign and pay for the coverage. The salesperson can enter the payment amount on behalf of the customer if desired.

Step 1: Enter the minimum required coverage for the move. This number will be automatically filled in based on the size and weight of their shipment, but the customer can adjust this number if they wish.

Step 2: Select Choose Deductible under the deductible option they wish to select for their policy.

Step 3: List the high-value items that are included in the shipment. This will include any item that would cost $2,000 or more to replace. If an item is considered a work of art, instruct the customer to check the Art box.

Step 4: Select Finish and Review.

Step 5: Instruct the customer to review their coverage and select Finish and Pay.

Step 6: Checkmark the box if they agree to electronic signatures.

Step 7: Sign the terms and conditions document and then select Next.

Step 8: Share with the customer that they should save a copy of the agreement for their records by selecting Save a Copy.


Step 9: Select Continue to Payment and enter the payment information.

Step 10: Select Pay Now.


High Value Items

In this section, you'll learn: How to list high value items on an insurance quote.

When creating an insurance quote, the high value items will be listed out in step three of the Relocation Insurance Group Insurance Quote Wizard. Any items that would cost $2,000 or more to replace need to be listed as a high value item. If an item is not listed the item will only be covered for up to $2,000.

Listing High Value Items

Step 1: Enter the name of the high value item.

Step 2: Enter the cost to replace the item.

Step 3: If the item is considered a work of art, check mark the Art box. If the item is not considered a work of art, move on to step 4.

Step 4: Select Add. This will add the high value item to the high value items list.

Step 5: Once all high value items have been listed, select Finish and Review to move to the final step of the insurance quote wizard.

Edit or Delete a High Value Item

High-value items can be edited or deleted once added to the High Value Items list. To edit an item, select the edit icon. To delete an item from the High-Value Items list, select the trash can icon.

Exceeded Coverage Limit

The total value of the high value items that are listed, must be less than or equal to the coverage limit that the shipper has selected. If the coverage limit is exceeded, a warning will populate alerting you that a new coverage limit needs to be selected that will cover the high value items and any remaining items that have not been listed yet.

High Value Items on the Crew Application

To alert your crew members of the high value items that are included in a shipment, any high value items that are listed will automatically populate on the crew notes for the job.

Q: Who Can Utilize the Integration?

Currently, the integration is only available to moving companies that are existing customers of both SmartMoving and Relocation Insurance Group. We do have plans to offer the integration to other companies in the future.

Q: What Fields are Required to be Entered to Create a Moving Insurance Quote?

The following information must be entered for the opportunity to start a moving insurance quote:

  • Customer Name

  • Customer Email

  • At least one stop, but two is ideal.

    Note: If only one address is entered, the origin and the destination will populate the same address on the insurance quote.

  • Service Date

Q: What Service Types Allow You to Start an Insurance Quote?

The following service types are supported and will allow you to start an insurance quote:

  • Moving

  • Moving and Packing

If combined with either a moving job or a moving and packing job the following service types are supported and will allow you to start an insurance quote.

  • Packing

  • Commercial

  • Storage In Bound

  • Junk Removal

Note: If one of the services above is not combined with a moving or a moving and packing job, you will not be able to start a moving insurance quote.

The following service types are not supported and will not allow you to start a moving insurance quote:

  • Load Only

  • Unload Only

  • Storage Out Bound

  • Inner House

  • Labor Only

Q: Why Can My Customer Not Finalize Their Coverage?

Coverage cannot be finalized within two days of the first date of service on your opportunity. Once within two days of the first service on the opportunity, the moving insurance quote is no longer valid and cannot be signed or finalized. Relocation Insurance Group recommends that the customer completes the sign-up process before that date.

Q: Can my Customers Contact Relocation Insurance Group if They Have Questions?

Yes, absolutely! After you have shared the quote with the customer, they will find a section labeled Questions? located on the left-hand side of the Relocation Insurance Group Insurance Quote Wizard. From that button, they will be shown a modal that states the contact number and email address for RIG.
