Overview
SmartMoving’s integration with QuickBooks allows you to customize how invoice line items are mapped based on Opportunity Type (Local, Intrastate, Interstate).
This ensures that charges are properly allocated to the correct P&L categories in your QuickBooks account.
You can also filter and search for specific invoice line items within the QuickBooks Integration settings, making it easier to navigate and manage your financial data. Additionally, you can filter by Opportunity Type within the Jobs tab, enhancing the accuracy and efficiency of mapping invoice line items.
Enabling the "By Opportunity Type" Feature
To enable this feature and start mapping your invoice line items by Opportunity Type, follow these steps:
Access Integration Settings:
Navigate to Settings in SmartMoving.
Click on Integrations and then Integration Library, or click here.
Locate QuickBooks and select Manage for the account you want to configure.
Enable "By Opportunity Type":
In the QuickBooks integration settings, you will find a toggle labeled "By Opportunity Type".
Click to enable this feature.
View Invoice Line Items by Opportunity Type:
Once enabled, all invoice line items will display their corresponding Opportunity Type (Local, Intrastate, Interstate) under each charge type.
Filter and Search for Line Items:
Use the new Search and Filter functionality to quickly locate specific invoice line items within the Jobs tab.
You can now filter by Opportunity Type to refine your results based on Local, Intrastate, or Interstate jobs.
The search bar allows you to enter a specific invoice line item title, and the system will filter the list accordingly.
Mapping Invoice Line Items
Once the "By Opportunity Type" feature is enabled, you can map invoice line items to QuickBooks items based on Opportunity Type. Follow these steps to create or edit your invoice line items mapping:
Navigate to Settings in SmartMoving.
Click on Integrations and then Integration Library, or click here.
Locate QuickBooks and select Manage for the account you want to configure.
Go to the Jobs tab.
View Available Mappings:
A list of invoice line items will appear with their corresponding Opportunity Type.
Map to QuickBooks Items:
Use the QuickBooks Item Dropdown to assign each invoice line item to the appropriate QuickBooks category.
Save Changes:
Click Save to apply the new mappings.
Once saved, your mapped opportunity type line items will sync with QuickBooks and appear accordingly in your financial reports once the job has been closed out.
Migration and Compatibility
If you have an existing QuickBooks integration setup, here’s what to expect:
If all Moving Services or Transportation items are mapped to the same QuickBooks item/class, the "By Opportunity Type" toggle will be disabled.
If Moving Services or Transportation items are mapped to different QuickBooks items/classes, the "By Opportunity Type" toggle will be enabled automatically.
No changes will be made to existing invoices – this feature will only impact new mappings moving forward.
