How Resources Are Counted in SmartMoving

Customize how SmartMoving counts and displays trucks and crew — based on availability, usage, and job status — for better dispatch planning.

SmartMoving offers flexible options for how your company’s resources (trucks, crew members, foremen, and drivers) are counted and displayed throughout dispatch and scheduling workflows. These settings allow you to tailor the system to match how your team tracks availability and workload.

This article explains how resource counts are calculated and where these numbers appear in the platform.


What Is Resource Counting?

Resource counting determines how SmartMoving calculates and displays the number of operational resources in your system. This information helps you manage capacity, avoid overbooking, and make scheduling decisions with confidence.

Configuration

There are two main areas of configuration that impact how resources are counted:

1. Job Types to Include in the Count

SmartMoving lets you choose which types of jobs contribute to your resource usage calculations. This determines how booked or unscheduled work affects your capacity view. To configure this setting:

Go to Settings > Dispatch > Capacity > Scroll down to the “Resource Job Types” section.

You’ll see two options:

  • Count resources from scheduled jobs and crew events

    • Includes only scheduled jobs and crew events that take capacity.

    • Booked or estimated jobs that aren’t yet on the schedule are not included.

    • Use this setting if you want your capacity view to reflect only what’s currently on the calendar.

  • Count resources from scheduled jobs, booked jobs, and crew events

    • Includes scheduled jobs, booked jobs, and crew events that take capacity.

    • Estimated jobs are still excluded.

    • Use this setting if you want to factor in upcoming booked work — even if it hasn’t been scheduled — to help with planning and forecasting.

Choose the option that best fits your operational approach to job planning and capacity forecasting.

2. Resource Count Display Options

You can control how SmartMoving displays your truck and crew resource numbers across the platform. To adjust this setting:

Go to Settings > Dispatch > Capacity > Scroll down to the “Resource Display” section.

You’ll see two options:

  • Display a count of resources available
    Shows the number of trucks or crew members that are currently free and unassigned.
    Example: 2 = 2 Trucks Available

  • Display a count of resources reserved
    Shows the number of trucks or crew members that are currently in use—assigned to scheduled jobs or crew events that consume capacity.
    Example: 2 = 2 Trucks Reserved

Choose the option that best reflects how your team prefers to monitor resource capacity.


How Resource Counts Are Calculated

By combining the two options above, you get four different calculation modes:

Scheduled jobs only

"We want to see how many trucks we can still assign for today or tomorrow."

A dispatcher wants to schedule last-minute jobs and needs to know what trucks and crew are still free based on the current schedule only. Booked jobs that haven’t been scheduled are ignored.

Scheduled + booked jobs

Resources available

"We want to see how much future capacity we have left for new sales."

A sales manager is evaluating how many more jobs they can sell next week. They want to include both scheduled and booked jobs to avoid overcommitting.

Scheduled jobs only

Resources reserved

"We want to track how many resources are currently active today."

The operations team is reviewing today’s workload and wants to see which trucks and crews are currently deployed. They only care about jobs actually happening now.

Scheduled + booked jobs

Resources reserved

"We want to get a full picture of our total workload for the week."

A general manager is reviewing upcoming operations and wants to understand how many resources are already spoken for — including jobs not yet scheduled — to help with staffing decisions.

These options provide flexibility to align the system with how your company plans its resource allocation.


Where Resource Counts Appear

The selected resource counting settings apply across key areas in SmartMoving, including:

  • Dispatch Resource Calendar (weekly and monthly views)

  • Dispatch Scheduling Page (truck and crew tabs)

  • New Opportunity Wizard

  • Job Calendar Availability View

  • Availability Pop-Ups in scheduling workflows
