Dispatching Crews with Specialized Skills

Learn how dispatchers see crew skill requirements on commercial jobs and assign qualified crew members from the dispatch board in SmartMoving.

Overview

When a commercial job has crew skill requirements (for example, "Movers x4" or "Forklift Operator x1"), those requirements carry through to the dispatch board so the dispatcher can staff the job with the right people. The dispatch board surfaces each slot's skill requirements, filters the crew list to qualified members, and tracks how many required skill slots have been filled.


Before You Start

  • Available to companies with Smart Pro.

  • You must have the Dispatch permission.

  • Crew skills must be configured in Settings > Commercial > Crew Skills.

  • Crew members must have the relevant skills added to their crew profile so they appear as qualified for those skill slots.

  • The commercial job must already have its skill requirements set on the job's Scheduling Details (see Managing Job Scheduling and Crew Skills).


How Dispatch Surfaces Skill Requirements

On the dispatch board, any slot tied to a commercial job with skill requirements shows a Skills button on the slot card. The button displays the fill status as a ratio, for example, Skills 2/5, representing how many required skill slots have a crew member assigned out of the total required.

The button color reflects staffing status:

  • Outlined green when every required skill slot is filled.

  • Outlined yellow/warning when one or more skill slots still need a crew member.

Hovering over the button opens a tooltip that breaks the requirement down by skill, so you can see at a glance which skills are still short. For example:

  • Movers: 3/4

  • Forklift Operator: 0/1

💡 SmartTip: Use the color of the Skills button as a quick visual check when scanning the board, yellow buttons mark slots that still need attention before the day is fully staffed.


Viewing Skill Requirements on the Job Details Modal

When you click a job on the dispatch board to open the Job Details modal, a Skills Required section appears below the job's job-attribute badges (the section only displays when the job has skill requirements set).

Each required skill renders as a non-clickable blue badge that shows the skill name and required quantity in the format <Skill Name> x<Quantity>, for example:

  • Movers x4

  • Forklift Operator x1

Skill names longer than 30 characters are truncated with an ellipsis; hover over the badge to see the full name in a tooltip.

The badges are read-only, they're there for at-a-glance reference while you decide whether the job is ready to staff. To change skill requirements, open the job and edit the Scheduling Details (see Managing Job Scheduling and Crew Skills).


Assigning a Crew That Matches Required Skills

  1. On the dispatch board, locate the slot for the commercial job you want to staff.

  2. Click the Skills button on the slot card to open the Assign Resources slideout.

  3. At the top of the slideout, review the Skill Requirements section. Each required skill appears as its own row, labeled with the skill name and, when more than one is needed, the position number (for example, "Movers (2 of 4)"). A badge in the header shows the overall fill count.

  4. For each skill row, open the dropdown and select a crew member. The dropdown only lists crew members who have that skill on their profile, so you cannot accidentally assign an unqualified person to a skill slot.

  5. As you select crew members, SmartMoving automatically adds them to the appropriate Driver, Crew Foreman, or Crew Member section further down in the slideout, based on each person's role. You don't have to add them twice.

  6. If you also need to assign trucks or additional crew who are not tied to a specific skill, use the Resources section of the same slideout.

  7. Click Save to commit all assignments. The Skills button on the slot card updates to reflect the new fill count and turns green once every required skill slot is filled.

Note: The same crew member can cover more than one skill on a job. If you pick someone who is already assigned to a different skill slot on the same job, SmartMoving shows a Duplicate Assignment confirmation so you can decide whether to double-book them intentionally or choose a different person.


What Happens When Skills Don't Match

SmartMoving prevents most skill mismatches at the point of selection rather than warning you after the fact:

  • The skill dropdown is pre-filtered. Only crew members whose profile includes the required skill appear in that skill's dropdown. Terminated crew members are excluded.

  • Fill count stays yellow until requirements are met. The slot's Skills button and the in-slideout badge remain in the warning state whenever the assigned count is below the required count, giving dispatchers a persistent signal that the slot is understaffed.

  • Overtime warning. If assigning a crew member would push their scheduled plus completed time past 40 hours for the week, SmartMoving shows an overtime warning so you can decide whether to proceed.

  • Trip conflict warning. If the crew member or truck is already committed to a long-distance trip on that date, a Trip Conflict Warning dialog lists the conflicting trip(s) and asks you to confirm before proceeding or cancel the change.

Because the dropdown itself filters out unqualified crew, there is no separate "mismatched skill" error, a crew member without the required skill simply is not selectable for that skill slot.

💡 SmartTip: If a crew member you expected to see isn't in the dropdown, check their crew profile. Missing a skill there is the most common reason they're filtered out of a skill slot.


Best Practices

  • Confirm job skill requirements are set on the project before the dispatch day so the Skills button and Skills Required badges appear on the slot and Job Details modal.

  • Keep each crew member's skill profile up to date as they complete training or earn certifications.

  • Staff the highest-specialty skill slots first (for example, Forklift Operator or Electrical), then fill general Movers slots from the remaining qualified pool.

  • Scan the board for yellow Skills buttons at the end of the staffing pass to catch any slot that's still short.

  • Treat trip conflict and overtime warnings as decision points, not blockers, proceed only when you've confirmed the conflict is acceptable.
