Managing Job Scheduling and Crew Skills

Learn how to set scheduling details and assign crew skill requirements to commercial jobs in SmartMoving.

Overview

Each commercial job includes scheduling details that define when the work happens and what crew is needed. Crew skills let you specify the types and quantities of skilled workers required for a job, such as "Movers x4" or "Forklift Operator x1."


Before You Start

  • Available to companies with Smart Pro.

  • You must have Accounts permission.

  • The job must already be created within a project.

  • Crew skills must be configured in Settings > Commercial > Crew Skills before you can assign them to jobs.


Viewing Scheduling Details

On the job detail page, the Scheduling Details section displays:

The job start date, including the arrival window if set

The job end date

Estimated Hours

The estimated duration (for example, "10h 30m")

Trucks Required

Number of trucks needed

Crew Required

Number of crew members needed

Actual Hours

Actual hours worked (updated after job completion)

Skills Required

Crew skill requirements displayed as badges (for example, "Movers x4")


How to Edit Scheduling Details

  1. Open the job detail page.

  2. On the Overview tab, locate the Scheduling Details section.

  3. Click the Edit button.

  4. Update the scheduling fields in the slideout: Job Type, Start Date and Arrival Window, End Date, Duration.

  5. Click Save to apply.


Scheduling on a Blocked-Off Day

Branches can designate specific days as blocked off (for example, holidays, weather closures, or company events). When a commercial job's start date lands on a blocked-off day for the job's branch, SmartMoving surfaces that in two places and gates the booking action.

Blocked Off Badge in Scheduling Details

When you open the scheduling editor and select a date that the branch has blocked off, a yellow Blocked Off badge appears next to the Start Date field. The badge re-checks every time you change the date, so it appears or clears as soon as you pick a new day.

The badge is informational, you can still save the scheduling details on a blocked-off day. It exists to warn the scheduler before they take a booking action they may not be allowed to complete.

The same Blocked Off badge appears in the duplicate-job and bulk-duplicate screens, so you can see it before copying a job onto a blocked date.

Booking a Job on a Blocked-Off Day

Booking is gated by the Can book on blocked off day permission:

  • If you have the permission, you can book the job normally. The standard Book Job? confirmation appears and you choose which contacts to notify.

  • If you do not have the permission, clicking Book opens a Cannot Book Job dialog instead of the booking confirmation. The dialog reads:
    ​ This Day Has Been Blocked Off - Please select a different date.

    • This job is on a day that has been blocked off.

    • Click Ok to dismiss the dialog.

    • The job is not booked.

    • To proceed, either reschedule the job to an open day or have an admin with the Can book on blocked off day permission complete the booking.

💡 SmartTip: Reschedule first, then book. The Blocked Off badge clears the moment you select an open date, which is your signal that the booking action will succeed.


How to Manage Crew Skills on a Job

Crew skills appear as colored badges in the Skills Required row of the Scheduling Details section. Each badge shows the skill name and quantity (for example, "Movers x4").

How to Add Crew Skills

  1. On the job detail page, click any existing skill badge, or open the crew skills editor from the scheduling details edit.

  2. In the Edit Crew Skills slideout, click Add Crew Skill.

  3. For each skill row: select a skill from the Skill Required dropdown, and enter the Quantity Required (minimum of 1).

  4. Click Save to apply.

Note: Each skill can only be added once per job. Skills you have already added are removed from the dropdown for subsequent rows to prevent duplicates.

How to Edit Crew Skill Quantities

  1. Click any skill badge in the Skills Required row to open the crew skills editor.

  2. Update the Quantity Required for any skill.

  3. Click Save to apply.

How to Remove a Crew Skill

  1. Open the crew skills editor by clicking a skill badge.

  2. Click the delete icon (red trash icon) next to the skill row you want to remove.

  3. Click Save to apply.

💡 SmartTip: Crew skills you configure here connect to the Skill Rates in your rate sheet. Setting skill requirements on jobs helps ensure accurate pricing and staffing.


Best Practices

  • Check the Blocked Off badge before clicking Book so you don't have to back out of the Cannot Book Job dialog.

  • Assign crew skills early in the project planning process so dispatchers can staff appropriately.

  • Use the pre-configured skill list (PMs, Supervisors, Drivers, Movers, Installers, Forklift Operator, IT, Electrical) as a starting point, and add custom skills in Settings as needed.

  • Review the Estimated Hours and Crew Required fields together to ensure your staffing plan aligns with the job timeline.
