How to Configure Commercial Settings

Learn how to set up crew skills, statuses, billing terms, and Commercial Customer Portal settings in SmartMoving's Commercial Settings.

Overview

Before you start creating commercial accounts, configure the settings your team will draw on throughout Commercial Accounts: the crew skills, statuses, and billing terms that populate dropdowns, and the branding and signature settings for the Commercial Customer Portal.

All of these settings pages are located under Settings > Commercial in the left sidebar.


Before You Start

  • Available to companies with Smart Pro. The Commercial section appears in Settings only for companies with Smart Pro.

  • You must have permission to access Settings.


How to Access Commercial Settings

  1. Click Settings in the left sidebar.

  2. Scroll to the Commercial section in the settings menu.

  3. Select the setting you want to configure: Crew Skills, Project Statuses, Account Statuses, Billing Terms, Portal Branding, or Portal E-Signature.


Crew Skills

Crew skills define the specialized roles your commercial crews can fill on jobs. When scheduling a commercial job, you assign skill requirements (for example, "Movers x4" or "Forklift Operator x1") to specify what crew composition is needed.

How to Add a Crew Skill

  1. Navigate to Settings > Commercial > Crew Skills.

  2. Click Add Skill in the upper right corner.

  3. Enter the skill Name (up to 100 characters).

  4. Click Create to save, or click Create and Add Another to save and immediately add the next skill.

Note: SmartMoving pre-populates your crew skills list with common commercial moving roles: PMs, Supervisors, Drivers, Movers, Installers, Forklift Operator, IT, and Electrical. You can edit or delete any of these defaults.

How to Edit a Crew Skill

  1. Click the skill name in the list, or click the three-dot menu on the right and select Edit.

  2. Update the Name field.

  3. Click Update to save.

How to Delete a Crew Skill

  1. Click the three-dot menu next to the skill you want to remove.

  2. Select Delete.

  3. Confirm the deletion in the dialog that appears.

How to Reorder Crew Skills

Drag and drop skills in the list to change their display order. The order you set here controls the order skills appear in dropdown menus throughout the module.

💡 SmartTip: Crew skills also appear as rate categories in your rate sheet. Each skill you create generates its own rate page under the Skill Rates section, where you can set hourly rates for that skill type.


Account Statuses

Account statuses let you track where each commercial account stands in its lifecycle (for example, "Active," "Inactive," or "Prospect"). The statuses you define here appear in the Status dropdown when creating or editing an account.

How to Add an Account Status

  1. Navigate to Settings > Commercial > Account Statuses.

  2. Click Add Account Status in the upper right corner.

  3. Enter the status Name.

  4. Click Create to save, or click Create and Add Another to continue adding statuses.

How to Set a Default Account Status

One account status can be marked as the default. The default status is automatically selected when creating an account.

  1. Click the three-dot menu next to the status you want as the default.

  2. Select Make Default.

The default status displays a green checkmark in the Default column.

Note: You cannot delete a status that is currently set as the default. To delete it, first assign a different status as the default.

How to Edit or Delete an Account Status

  • Edit: Click the status name or select Edit from the three-dot menu. Update the name and click Update.

  • Delete: Select Delete from the three-dot menu and confirm. Default statuses cannot be deleted.

How to Reorder Account Statuses

Drag and drop statuses in the list to change their display order in dropdown menus.


Project Statuses

Project statuses track the progress of individual projects within an account (for example, "Planning," "In Progress," or "Completed"). The statuses you define here appear in the Status dropdown when creating or editing a project.

How to Add a Project Status

  1. Navigate to Settings > Commercial > Project Statuses.

  2. Click Add Project Status in the upper right corner.

  3. Enter the status Name.

  4. Click Create to save, or click Create and Add Another to continue adding statuses.

How to Set a Default Project Status

  1. Click the three-dot menu next to the status you want as the default.

  2. Select Make Default.

The default status displays a green checkmark in the Default column and is automatically selected when creating a project.

Note: You cannot delete a status that is currently set as the default. Assign a different default first.

How to Edit, Delete, or Reorder Project Statuses

These actions work the same way as account statuses:

  • Edit: Click the name or select Edit from the three-dot menu.

  • Delete: Select Delete from the three-dot menu (non-default statuses only).

  • Reorder: Drag and drop to set display order.


Billing Terms

Billing terms set when a commercial invoice is due. What you set here is the default for every new account, and an individual account can override it on its General Settings tab.

How to Set Default Billing Terms

  1. Navigate to Settings > Commercial > Billing Terms.

  2. Under Default Account Billing Terms, select a term: Due immediately, where the invoice is due upon receipt, or Net X days, where the customer has a set number of days to pay from the invoice date.

  3. When you select Net X days, enter the number of days in Due in X days.

  4. Click Save.

New commercial accounts inherit this term.

Note: Due in X days appears only while Net X days is selected, and it is required before you can save. Click Revert in the save bar to discard your changes.


Portal Branding

Settings > Commercial > Portal Branding sets the logo and colors your commercial contacts see when they sign in to the Commercial Customer Portal. The Company tab applies to every branch by default, and the Branches tab lets you override branding for a branch that operates under its own logo or colors.

Six colors are available: Button Color, Button Text Color, Title Text Color, Banner Color, Banner Text Color, and Background Color. When no logo is set, the portal displays your company name as text instead.


Portal E-Signature

Settings > Commercial > Portal E-Signature controls whether contacts must accept an electronic signature agreement before signing a document in the Commercial Customer Portal.

Turn on Require electronic signature agreement in the Signatures card, then use Apply Template or type directly to set the wording of the Electronic Records and Signatures Disclosure your contacts see. A contact accepts the agreement once rather than for each document.


Best Practices

  • Define your account and project statuses before creating your first account. Changing statuses later may require updating existing records.

  • Keep status names concise and consistent so your team can quickly identify account and project health at a glance.

  • Coordinate with your team on crew skill names before adding them, since skills drive both job scheduling and rate configuration.

  • Set a default for both account statuses and project statuses to streamline account and project creation.

  • Set your default billing terms before creating accounts, so each new account starts from the right term rather than being corrected later.
