Introduction to Commercial Accounts

Learn how SmartMoving's Commercial Accounts module helps you manage business clients using an Account, Project, and Job hierarchy with custom pricing, invoicing, and crew skills.

Overview

The Commercial Accounts module gives your moving company a dedicated space to manage business and commercial clients. Instead of tracking each move as a standalone opportunity, Commercial Accounts organizes your work into a three-level hierarchy: Account > Project > Job.

This structure supports ongoing client relationships, multiple projects per client, and the specialized pricing, invoicing, and staffing that commercial moves require.

You can access Commercial Accounts from the Accounts link in the left sidebar.

Note: Available to companies with Smart Pro.


Understanding the Hierarchy

Commercial Accounts uses three levels to organize your work. Each level has its own detail page, settings, and capabilities.

Account

An Account represents the business entity you are working with (for example, "Acme Corporation" or "City General Hospital").

Each account includes:

  • Business name and address

  • Account status (custom statuses you define)

  • Assigned account representative

  • Branch and referral source

  • Contacts, organized by department if needed

  • Documents and notes

  • Account-level rates

  • Default billing terms (COD, Net 15, Net 30, or Net 45)

Project

A Project is a specific engagement or scope of work within an account (for example, "HQ Office Relocation Q1" or "Warehouse Consolidation Phase 2").

Each project includes:

  • Auto-generated project number

  • Project manager assignment

  • Start and end dates

  • Purchase order numbers with budgets

  • Project-level contacts

  • Optional pricing overrides (custom rates that apply only to this project)

  • Invoices and payment tracking

Job

A Job is the individual move or service event within a project. This is where day-to-day work gets scheduled and executed.

Each job includes:

  • Scheduling details: dates, estimated hours, trucks, and crew requirements

  • Crew skill requirements (for example, "Movers x4, Forklift Operator x1")

  • Charges and service details

  • Accounting information for billing


Key Capabilities

The Commercial Accounts module includes the following features. Each one is covered in detail in its own help article.

  • Account management: Create accounts, track statuses, assign representatives, and monitor account health through KPI metrics

  • Contacts and departments: Add multiple contacts to an account and organize them into a department hierarchy

  • Projects with PO tracking: Create projects within accounts, assign project managers, and track purchase orders with budgets

  • Custom pricing: Configure a rate sheet at the account level or override rates at the project level for negotiated pricing

  • Crew skills: Define specialized skills (such as Project Managers, Drivers, Installers, or Forklift Operators) and assign skill requirements to jobs

  • Invoicing and payments: Create invoices from completed jobs, send them via email, and record payments with flexible application to open invoices

  • Documents and activity: Store contracts, agreements, and correspondence at the account level, and track activity across the entire hierarchy


Getting Started

Follow these steps to begin using Commercial Accounts:

  1. Click on Accounts in the left sidebar.

  2. Navigate to Settings > Commercial and configure your initial setup:

    1. Crew Skills: Define the skill types your commercial crews use

    2. Account Statuses: Create the status labels your team will use to track accounts

    3. Project Statuses: Create the status labels for tracking project progress

  3. Click Accounts in the left sidebar to open the Accounts landing page.

  4. Click + Add Account to create your first commercial account.

💡 SmartTip: Set up your crew skills, account statuses, and project statuses before creating your first account. These settings populate the dropdown menus you will use throughout the module.


Who Uses What

Different roles in your organization will use different parts of the Commercial Accounts module:

Note: Access to the Accounts module is controlled through permissions. Your administrator can configure who has access in Settings > Permissions.


Troubleshooting Commercial Accounts

Why does Accounts in the left sidebar show an upgrade arrow?

Commercial is available to companies with Smart Pro. Without Smart Pro, Accounts shows in the left sidebar with an upgrade arrow and the Commercial section does not appear in Settings.

  1. Click Accounts in the left sidebar. The Upgrade to Smart Pro window opens with the heading Your business does more. SmartMoving does too.

  2. Click Learn More to open the Smart Pro page in a new browser tab.

Why don't I see Accounts in the left sidebar at all?

Accounts appears only for users with the Accounts permission. An admin can grant it in Settings > Roles & Permissions.
