Overview
Projects represent specific engagements or scopes of work within a commercial account. Each project can contain multiple jobs, track its own purchase orders and budgets, and optionally override account-level pricing. Projects are where invoicing and payment tracking happen.
Before You Start
Available to companies with Smart Pro.
You must have Accounts permission.
The account must already be created.
Configure Project Statuses in Settings > Commercial > Project Statuses before creating your first project.
How to Create a Project
Open the account's detail page.
On the Overview tab, locate the Projects card in the main content area.
Click Add Project.
Complete the form in the slideout:
Project Fields
Field | Required | Description |
Project Name | Yes | A descriptive name for the project (up to 100 characters) |
Status | Yes | Select a project status. Defaults to your configured default status. |
Start Date | Yes | The project start date |
End Date | No | The project end date |
Project Manager | No | Select the team member managing this project |
Contact Assignment
The Contact Type field determines how you assign a contact to the project. Select one of three options:
Account Contact: Choose from existing contacts on the account. Select the contact from the Account Contact dropdown.
Department: Choose a department first, then select a contact within that department. Both the Department and Account Contact fields are required.
New Contact: Enter a new contact's information directly. The contact form includes fields for name, email, phone, job title, and primary contact designation.
Purchase Orders
Every project starts with at least one purchase order row:
Field | Description |
Purchase Order Number | The PO number from the client (alphanumeric and hyphens, up to 100 characters) |
Project Budget | The dollar amount budgeted for this PO |
Click the + button to add additional PO rows. Click the delete icon to remove a PO row.
Click Add Project to create the project.
đĄ SmartTip: Purchase order budgets feed into the Project Budget KPI card on the project detail page. Enter accurate budgets to track spending against the client's approved amounts.
How to Edit a Project
Open the project detail page.
On the Overview tab, click the Edit button on the Project Info card.
Update the fields in the slideout.
Click Save to apply your changes.
How to Open a Project
From the account detail page, click a project name in the Projects table on the Overview tab. The project name links directly to the project detail page.
The projects table shows: Project #, Project Name, Status, Project Manager, Job Count, Start Date, End Date, and Balance.
