Navigating the Project Details Page

Manage a commercial project from its Project Details page: KPI cards, eight tabs, jobs, communications, invoicing, and project pricing.

Overview

The Project Details page is where you manage the day-to-day work within a commercial account project. It shows financial KPIs, organizes project information across eight tabs, and provides access to jobs, communications, invoicing, and project-level pricing.


Before You Start

  • Available to companies with Smart Pro.

  • You must have Accounts permission.

  • The project must already be created within an account.


How to Access the Project Details Page

  1. Open the account's detail page.

  2. On the Overview tab, click a project name in the Projects table.

The page header displays the project number, project name, and a color-coded status badge.


Understanding the KPI Cards

Five KPI cards appear at the top of the page and refresh automatically as invoices, payments, and jobs change on the project.

Card

What It Shows

Outstanding Balance

Total unpaid amount across all project invoices.

Past Due Balance

Amount overdue across project invoices. Displays in red when greater than $0.

Total Project Budget

Combined budget from all purchase orders on the project.

Budget Remaining

Total Project Budget minus billed and committed amounts. Displays in red when negative, indicating a budget overrun.

Jobs Completed

Ratio of completed jobs to total jobs on the project (for example, "3/10").

The Jobs Completed ratio updates without a page refresh when you add, duplicate, or delete jobs on the project.


Understanding the Tabs

The Project Details page has eight tabs:

Email account contacts from the project and review every email sent from it

Documents applied from your document library, with signature status and Commercial Customer Portal visibility

Files & Photos

File storage for project-level files you upload

Create invoices, record payments, and track billing

Project-level pricing overrides

Note: Documents and Files & Photos are separate tabs. Use Documents for paperwork you send for signature, and Files & Photos for files you upload and store.


Overview Tab

The Overview tab uses a two-column layout.

Left Sidebar

Project Info Card

Displays: Project Number, Purchase Order Number(s), Project Manager, Project Name, Start Date, End Date, and Status. Click the Edit button to update project details.

Contacts Card

Lists contacts assigned to this project. Click Add Contact to assign an existing account contact or add a new one. You can also unassign contacts from the project without deleting them from the account.

Main Content Area

Jobs Card

Displays a table of all jobs in the project with columns for: Job Number, Job Name (with service type and start date), Status, Service Type, and an actions menu. Click Add Job to create a job, or click a job name to open its detail page.

Storage Accounts Card

Lists the storage accounts linked to this project, with the account number and name, status, move-in date, estimated move-out date, next invoice date, and balance.

  • Click Add Storage Account to create a new storage account for the project.

  • Click Link Storage Account to attach an existing one. The search matches on storage account, contact, lot number, and container number.

When the project has none, the card reads "There are no storage accounts for this project."

Note: Linking a storage account does not move any inventory or change any charges. It connects the two records, and it is what lets contacts with Commercial Portal Access reach their stored inventory from the Commercial Customer Portal.


Communications Tab

The Communications tab is where you email contacts about the project and see what has been sent.

  • The Email composer sits at the top. Add recipients in To: (and Cc: with Add Cc), enter a Subject:, write the message, and click Send Email.

  • The recipient list includes every contact on the account with an email address. You can also type any email address.

  • Call and Text tabs appear next to Email but can't be selected.

  • The Communications history below the composer lists emails sent from the project, newest first, with a date filter and Load more for older emails.


Best Practices

  • Watch the Past Due Balance card on active projects, a red value flags receivables that need follow-up.

  • Keep an eye on Budget Remaining; when it turns red, the project has committed more than the purchase orders cover and may need a change order.

  • Use Jobs Completed to confirm at a glance how much project work is still outstanding before invoicing milestones.

  • Link a storage account when you create the project, so the contact sees a complete picture from their first visit to the portal.
