Sending an Email from a Commercial Project

Send an email to account contacts from a commercial project's Communications tab in SmartMoving and review every email sent from that project in one place.

What is the Communications tab on a project?

The Communications tab on a commercial project is where you email the people you work with on that project and keep a record of what was sent.

  • The tab sits between Overview and Documents on the Project Details page.

  • The top card holds the email composer on its Email tab. Call and Text tabs appear in the same card but can't be selected; hovering over them shows Coming soon.

  • Below the composer, the Communications history lists every email sent from the project, newest first.

  • The card footer shows how many emails have been sent, for example 3 Emails.

Before you start sending project emails

  • Available to companies with Smart Pro.

  • Your role needs the Accounts permission. An admin can add it in your role settings.

  • To pick a contact from the list, the contact needs an email address saved on the account.


How do I send an email from a project?

  1. Open the account from Accounts in the left navigation, then open the project.

  2. Click the Communications tab.

  3. In the To: field, start typing a name or email address and select a contact from the list. To email someone who isn't listed, type their full email address and press Enter, Tab, or a comma.

  4. (Optional) Click Add Cc and add recipients to the Cc: field the same way.

  5. Enter a subject in the Subject: field.

  6. Write your message in the body.

  7. Click Send Email.

A Sent! message confirms the email went out, the composer clears, and the email appears at the top of the history.


How do I find emails sent from a project?

  1. Open the project and click the Communications tab.

  2. Scroll below the composer to the Communications history.

  3. (Optional) Use the date filter next to the heading to narrow the list: All Dates, This Month, Last Month, This Quarter, Year to Date, or Last Year.

  4. Click Expand on an email to read the full message, and Collapse to shorten it again.

  5. Click Load more at the bottom of the list to see older emails.

Each email shows the date and time it was sent, who sent it (You for your own emails), the recipients and anyone CC'd, the subject, and the message. Hover over + more to see the full recipient list.

Key details about project emails

  • The contact list comes from the account. Every contact on the account with an email address appears in the To: and Cc: lists, including contacts assigned to other projects.

  • A subject, a message, and at least one recipient are required. If one is missing, the composer names it, for example "Please add a subject."

  • Subjects can be up to 200 characters.

  • An email can go to up to 50 recipients across the To: and Cc: fields combined.

  • Duplicate addresses are removed. An address added twice, or in both To: and Cc:, receives the email once.

  • The email is sent under your name and your company's name, for example "Jordan at Harbor Point Moving."

  • Everyone with access to the project sees its history. Emails sent by coworkers appear with their name.

  • Each sent email is also logged on the project's Activity tab.

  • The history shows emails sent from this tab. Emails sent from a job on the project, and automated emails, are not listed here.


Best practices for project emails

  • Add each contact's email address on the account first, so they appear in the recipient list.

  • Use a clear subject that names the project, so the contact can find the thread later.

  • End your message with your name and phone number.

  • Use the date filter to find a past email quickly on long-running projects.


Troubleshooting project emails

  • I don't see the Communications tab.

    • The tab appears on projects, not on the account page. If it isn't on the project either, contact SmartMoving Support.

  • A contact isn't in the recipient list.

    • The contact needs an email address saved on the account. Edit the contact to add one, or type the address in the To: field and press Enter.

  • The email address I typed didn't turn into a recipient.

    • The address must be a complete, valid email address. Check the spelling and press Enter, Tab, or a comma.

  • I see "Your message was not sent."

    • The rest of the message explains why, such as an invalid address or too many recipients. Fix the issue and click Send Email again. Your message stays in the composer.

  • My email isn't in the history.

    • Check the date filter. If it's set to a range that doesn't include today, set it to All Dates.
