Adding Inventory Items to a Storage Account

Learn the two ways to add Descriptive Inventory items to a Storage Account in SmartMoving: automatically through a completed Warehouse Check, or manually using the Import Items option.

Overview

Add Descriptive Inventory (DI) items into a customer's Storage Account without re-entering them, either automatically when a Warehouse Check is completed or manually with the Import Items option. Both methods pull from completed DI data and skip items already in the account.


Before You Start

Available to accounts using SmartMoving Storage. Requires admin role.

The Storage Account must already exist and be linked to the customer before the Warehouse Check is completed. If the Warehouse Check is finalized before a Storage Account exists, the items will not transfer automatically, and you will need to add them with the manual Import Items method.


Option 1: Add Items Automatically by Completing a Warehouse Check

When a crew member completes a Warehouse Check through the Descriptive Inventory workflow in the Crew App, any items marked as Checked are automatically added to the customer's linked Storage Account under the Inventory tab. Each item arrives with a default status of In Storage.

This happens without any additional steps from the office. Once the check is finalized, the items appear in the Storage Account automatically.

Items excluded from automatic transfer:

  • Items marked as Missing during the Warehouse Check

  • Items marked as Voided during the Warehouse Check

  • Items already present in the Storage Account inventory (no duplicates are created)

Note: If no Storage Account is linked when the Warehouse Check is finalized, the items will not transfer automatically. Add them with the manual Import Items method below once the account is set up.


Option 2: Add Items Manually Using Import Items

If items were not automatically added, or if you need to import items from a specific opportunity, you can bring Descriptive Inventory data into the Storage Account manually using the Import Items option.

The Import Items button appears on the Inventory tab of the Storage Account when the linked customer has at least one opportunity with a completed Descriptive Inventory. If no eligible opportunities exist, the button will not appear.

How to Import Items Manually

  1. Open the Storage Account in SmartMoving and go to the Inventory tab.

  2. Click Import Items in the upper right corner.

  3. In the Import Descriptive Inventory modal, select the opportunity to import from. Opportunities are listed by quote number and job type.

  4. Choose how to import:

    • Import all inventory items: brings in everything from the selected Descriptive Inventory.

    • Select specific items to import: lets you choose only the items going into storage, useful when only part of a customer's inventory is being stored.

  5. Confirm your selection to complete the import.

The result: the imported items appear on the Inventory tab of the Storage Account.

Key details:

  • Only opportunities linked to the same customer as the Storage Account appear in the dropdown.

  • Items already present in the Storage Account are automatically skipped, so no duplicates are created.

  • Each import is recorded in the account's audit history, including the opportunity number, number of items imported, and number of duplicates skipped.

šŸ’” SmartTip: Use the partial import option when a customer is storing only a portion of their inventory. This keeps the storage record accurate without bringing in items that were delivered directly.


Which Method Should I Use?

Use this table to choose a method based on whether the Storage Account existed when the Warehouse Check was completed and how much of the inventory is going into storage.
