Pre-Filling the Pre-Move Inventory from a Storage Account

When you create an outbound opportunity from a storage account, SmartMoving automatically adds the selected storage inventory items to the new opportunity's pre-move inventory, preserving room assignments and quantities.

Overview

When you create an outbound opportunity from a storage account and select items from the storage inventory, those items are automatically added to the new opportunity's pre-move inventory. Room assignments carry over from storage, so each item lands in the correct room without manual re-entry. The opportunity's volume and weight are calculated from the inventory rather than the move size.


Before You Start

Available to accounts using SmartMoving Storage.

  • You must be an admin (typically owners) or have a role with access to the storage module.

  • Descriptive Inventory (DI) must be enabled on your account.

  • The outbound opportunity must not already have pre-move inventory. If it does, items cannot be pre-filled.

  • If you don't see this option, contact SmartMoving Support.


How To Do It

  1. Open the storage account and select the Inventory tab.

  2. Select the items you want to move out. Each item you select will be included in the pre-move inventory of the new opportunity.

  3. Create an outbound opportunity from the storage account. The selected items are automatically added to the pre-move inventory of the new opportunity.

  4. Open the new outbound opportunity and navigate to the pre-move inventory to review the pre-filled items.

  5. Confirm that each item appears in the correct room and with the correct quantity. Make any adjustments needed before booking.


Key Details

  • Only items you explicitly selected during outbound opportunity creation are pre-filled. Items that were not selected will not appear on the pre-move inventory.

  • Room assignments from the storage inventory are preserved. For example, a sofa assigned to the living room in storage appears in the living room on the pre-move inventory.

  • Once the outbound opportunity is created, the storage inventory and the pre-move inventory are independent. Changes to one do not affect the other.

  • Photos and item notes from the storage inventory carry over to the new opportunity. Photos stay on the items. Each storage note carries over as a Storage check note on the opportunity's descriptive inventory, rather than in the Notes column of the pre-move inventory list.

  • The opportunity's volume and weight are calculated from the inventory, not the move size.

  • In Summary view, only materials with a non-zero quantity appear. In Room view, all available tariff materials appear, with materials not brought over from storage showing a quantity of zero.

  • Standard outbound opportunities not created from a storage account are not affected by this behavior.


Best Practices

  • Confirm items are selected on the storage inventory before creating the outbound opportunity. Items left unselected will not pre-fill.

  • Review the pre-filled inventory in Room view to catch any items that need to be reassigned to a different room before booking.

  • Photos and storage notes carry across, so you do not need to re-add them. Add anything else the crew needs directly on the new opportunity before booking.

  • Use the volume and weight calculated from the inventory to validate the truck and crew assignments for the outbound move.
