Adding Notes for a Day on the Dispatch Schedule

Leave notes for a specific day on the SmartMoving Dispatch Scheduling page with Today's Notes, so every dispatcher sees daily reminders, crew changes, and instructions in one place.

What is Today's Notes in SmartMoving?

Today's Notes lets your team leave notes on a day in Dispatch Scheduling. Use it for information that belongs to the whole day rather than to one job, such as a truck in the shop, a crew member leaving early, or a reminder for the next dispatcher on shift.

  • A day can hold as many notes as you need, listed newest first.

  • Each note shows who wrote it and when, plus who last edited it.

  • The button shows how many notes the day has, so you can tell at a glance when there is something to read.


Before you start with Today's Notes

  • You need the Dispatch permission to open the Scheduling page and to add, edit, or delete notes.

  • Today's Notes is available on the web app only.


How do I add a note for a day?

  1. Go to Dispatch and click the Scheduling tab.

  2. Go to the day you want to leave a note on.

  3. At the bottom of the Jobs column, click Today's Notes. The Today's Notes panel opens. If the day has no notes yet, it reads "No notes for this day."

  4. Type your note in the Add notes box. Line breaks are kept.

  5. Click Add Note. A Note Created message appears and the note is added to the top of the list.

  6. Click Close. The button now shows the number of notes for the day, such as Today's Notes (1).


How do I edit a note?

  1. Open Today's Notes for the day.

  2. Click the three-dot menu on the note and select Edit.

  3. Change the text, then click Update Note. A Note Updated message appears.

To leave the note as it was, click Cancel instead of Update Note.


How do I delete a note?

  1. Open Today's Notes for the day.

  2. Click the three-dot menu on the note and select Delete.

  3. In the Delete note? confirmation, click Delete. A Note Deleted message appears.

Note: A deleted note cannot be restored.


Key details about Today's Notes

  • Notes belong to one date. A note stays on the day it was added and does not carry over to the next day.

  • Notes are shared across your whole company. Selecting a branch on the Scheduling page does not filter notes, so every dispatcher sees the same notes for a date.

  • The button reads Today's Notes on every date. On a past or future day, the panel shows the notes for the date you have open.

  • Each note shows its history. The note header reads "[Name] created a note." with the date and time. After someone edits the note, a second line shows who updated it and when.

  • Anyone with the Dispatch permission can edit or delete any note, including notes written by someone else.

  • A note can be up to 4,000 characters. Add Note stays unavailable while the box is empty or over the limit.

  • Notes appear only on the Scheduling page. They do not appear on the Resource Calendar or in the Crew App.

  • The count updates when you close the panel or change dates. A note a coworker adds while you have the page open appears the next time you open the panel.


Best practices for Today's Notes

  • Keep job-specific information in that job's Dispatcher Notes, and use Today's Notes for anything that affects the whole day.

  • Start each note with what it is about, such as "Truck 4:" or "Crew:", so the list is quick to scan.

  • Delete notes that no longer apply, so the count on the button reflects what still matters.

  • If your company runs more than one branch, name the branch in the note, since every branch sees the same notes.


Troubleshooting Today's Notes

  • The Add Note button is grayed out.

    • The box is empty or the note is over 4,000 characters. Type a note, or shorten it.

  • I cannot find the Today's Notes button.

    • The button is at the bottom of the Jobs column on the Scheduling tab in Dispatch. It is not on the Resource Calendar. If you cannot open the Scheduling tab, ask an admin for the Dispatch permission.

  • A note a coworker added is not showing.

    • Close the panel and open it again, or change the date and come back.

  • I see notes that belong to another branch.

    • Notes are shared across your whole company and are not filtered by branch. Name the branch in each note so your team can tell them apart.
