SmartMoving automatically syncs jobs and invoices to QuickBooks at key points in the job lifecycle. Below is a summary of when and what gets synced:
Sync Triggers
Action Performed | Sync Behavior |
Payment added, deleted, or refunded | SmartMoving syncs the invoice and updates the payment information in QuickBooks. |
Job is closed | A final invoice is generated and synced to QuickBooks. |
Deposit is taken | The invoice is synced immediately, and the deposit is applied in QuickBooks. |
How Re-Syncing Works
Scenario | Result |
Invoice resent from SmartMoving | The latest invoice details are re-synced to QuickBooks. |
Opportunity Invoice Date has changed | If the "Use Opportunity Invoice Date" setting is enabled, the updated date will sync. |
Manual date change during resend | The newly selected date is used and synced to QuickBooks.
|
Audit Logging | All changes to the invoice date are tracked for visibility and control. |
Additional Notes
Invoices will not be re-synced unless a triggering event occurs (e.g., resend, payment update).
If the "Use Opportunity Invoice Date" toggle is turned off, SmartMoving uses the job’s Primary Service Date.
If the toggle is on, the synced invoice date reflects either the default or manually selected Opportunity Invoice Date.
All sync actions respect your company's local time zone.
