How to add additional truck and fuel surcharges to your estimates

Calculating mileage

For all of the methods below, mileage can be calculated by one of the following:

  • By Portion: Define what the mileage includes by selecting or deselecting any segment of the trip. To select or deselect each leg of the trip, simply click the square icon between each segment, and that segment will be included or excluded depending on the selection you make.

  • By Radius: Radius mileage will look at all stops on the estimate and determine which stop is the furthest distance from your warehouse. You may then set fees based on this "radius" mileage instead of actual driving distance. For example, if the pickup location is 10 miles from your office, but the dropoff location is 30 miles away, this calculation method would return 30 miles as the distance calculation.

Enabling truck fees

Truck fees will add additional costs to account for the use of one or more trucks.

Note: If desired, you have the option to edit the Label Name for all fee types except hourly (as these fees do not appear as a separate line item on the estimate). For the others, this is the name of the fee that will be visible to the client on the estimate.

To add a truck fee,

First, enable the Truck Fee toggle.

Next, select whether the fee will be charged as a flat rate, hourly rate, or by the mile.

Flat Rate

Flat rates automatically add an additional charge based on how many trucks a job requires. For instance, if you enter β€œ100” into the Amount field, then a line item will appear on the estimate that shows β€œ300” if the job requires three trucks.

Hourly Rate

To include a truck fee without a separate line item on the estimate, you can use an hourly rate to roll the amount into the hourly rate. Setting an hourly rate will not line item an additional fee.

For example, if your goal is to charge an additional $20 per hour per truck added to the estimate, you would want to turn on the hourly rate for $20. If a job requires 2 trucks, the total truck cost would add an additional $40 per hour to the estimate.

Note: This setting is most commonly used when you charge a higher hourly rate when you have larger crew sizes as those larger crew sizes are usually accompanied by additional trucks.

The SmartMoving crew base rates DO NOT take into account additional hourly amounts for additional trucks. If you wish to charge your customer a higher per hourly rate for each truck added to the job but you do not want your customer to see a truck fee as an additional line item, then this setting is what you want.

Simply subtract the "per hour" charge you would normally add to the hourly rate for each truck and subtract that from the crew base rate setting. You would then turn on the hourly rate truck fee and add that truck hourly rate as a flat dollar amount. SmartMoving will then take your crew base rate, add the per truck hourly fee, and present your customer with one single hourly rate that includes both of these fees.

By the Mile

By the mile calculates the truck fee by multiplying the final mileage by the per-mile rate. This fee appears on a separate line item. Mileage is determined by your mileage setting as described above.

To charge by the mile,

First, enter the Per Mile Rate, Fee Minimum, and Included Miles.

Next, select whether the mileage will be calculated by portion or by radius.

Then, click Save Changes.

Fuel surcharges

To add a fuel surcharge, enable the Fuel Surcharge toggle and select whether the fee will be charged by the mile or as a percentage of the job total.

Note: If desired, you have the option to edit the Label Name (e.g., fuel fee, etc.) regardless of the type of rate selected. This is the name of the fee that will be visible to the client on the estimate.

By the mile fuel surcharge

By the mile calculates the fee by multiplying the final mileage by the per-mile rate. Mileage is determined by your mileage setting as described above.

To charge by the mile,

First, enter the Per Mile Rate, Fee Minimum, and Included Miles.

Next, select whether the mileage will be calculated by portion or by radius.

Then, click Save Changes.

By percentage

The percentage selection calculates the fee using a percentage of the job total.

To use a percentage, enter the charge amount into the Value field as a percentage. For example to charge an 8% fuel surcharge simply enter "8" in the input field.
