How to use and modify each moving service time estimate

Based on your settings and the information entered into the estimate, SmartMoving automatically calculates time estimates for the moving and packing labor, origin and destination handicap, origin to destination travel, and the travel time to and from the job sites. You are able to modify these estimates as needed for every opportunity.

Updating moving service time estimates

Navigate to the estimate page of an opportunity.

First, click Moving Services in the estimate panel.

Next, the first option is the "Not the exceed" toggle, and it is disabled by default. However, this option is useful if a customer will be charged by the hour but doesn't want the total cost to exceed a certain amount. In this scenario, you can enable the toggle and click the blue link to enter the amount to not exceed.

Note: To update the default Not to exceed amount, navigate to Settings -> Estimate Settings -> Common.

Then, the rest of the options can be edited as needed by clicking the blue link:

  • Moving Labor: SmartMoving automatically calculates the moving labor based on the cubic feet and the weight of the move from the estimate. Note: If you wish to adjust the algorithm SmartMoving uses to provide this estimate, navigate to Settings -> Estimate Settings -> Common and change the volume-to-weight multiplier.

  • Packing Labor: Packing labor is useful in this moving services panel if you’re packing and moving on the same day. Otherwise, if packing and moving will be completed on separate days, you’ll want to add a packing job to the opportunity rather than add packing labor here.

  • Origin/Destination Handicap: If stairs, an elevator, or a long carry walk distance is added to a job, these things add additional time to the move that can be accounted for here.

  • Origin -> Destination Time: The moving labor and handicaps only take into account the time needed for moving and unloading the furniture. For this reason, the origin -> destination time adds the drive time necessary to travel from the pickup location to the drop-off location, including all stops along the way. This time estimate is provided by Google Maps and includes time for any common traffic or construction along the route.

  • Travel Time: If your company does not charge an automatic travel or trip fee as a line item on the estimate, you can add the time needed to travel from your warehouse to the pick up location and from the drop-off location back to the warehouse. This time estimate is provided by Google Maps and includes time for any common traffic or construction along the route.

  • Minimum Job Time: The minimum job time is the minimum number of hours that can be spent on the job. Note: To update the default Minimum job time, navigate to Settings -> Estimate Settings -> Common.

There are three estimate totals that cannot be directly edited:

  • Estimated Time: This amount is calculated by all of the time factors above it. Should the time need to be adjusted, you must change the numbers above.

  • Quoted Time: This amount will either be the estimate time or the minimum job time—whichever is higher—rounded up to the quarter hour (i.e., rounded to the closest 15 minute increment).

  • Moving Total: This is the total move cost with all time estimates considered.

Note: The moving total cannot be modified on non-binding estimates. For binding flat rate estimates, however, you can edit the moving total because it is a flat rate.
