Using the Pre-Move List in Descriptive Inventory

The Pre-Move List feature in SmartMoving gives crews a head start when building their Descriptive Inventory. Instead of starting from scratch, they can import inventory items that were already captured during the pre-move phase, whether through the Pre-Move App, Web App, or the Customer Portal.


Overview

The Pre-Move List allows your crew to:

  • Use existing pre-move inventory data to prefill the descriptive inventory.

  • View any notes or photos entered during the pre-move survey.

  • Edit existing items or add new ones on the fly during move day.

  • Save time by avoiding duplicate data entry.

This feature is controlled by a permission, so you can decide which crews are allowed to use it.


Step 1: Enable the Permission

Before crews can access the Pre-Move List, you’ll need to enable it in your account settings.

  1. Go to Settings > Crew App > Crew App Permission.

  2. Scroll down to the Descriptive Inventory's permission and locate: Can use pre-move item list.

  3. Enable or disable this permission for each Crew Role as needed.

Note: Some teams prefer that crews build their inventories from scratch, without relying on pre-move data. This permission gives you flexibility to choose the workflow that fits your team.


Step 2: Starting a Descriptive Inventory with a Pre-Move List

Once the permission is enabled, crew members will see the option “Use Pre-Move List” when starting a new descriptive inventory in the app.

How It Works

  • When toggled on, the descriptive inventory automatically preloads all items that were recorded in the pre-move phase.

  • This includes data from the Pre-Move App, Web App, or Customer Portal.

  • Any existing notes or photos from the pre-move survey are carried over.

When enabled, crews will be able to:

  • Add new damages observed on move day.

  • Update or add notes and photos.

  • Add new items if additional pieces need to be moved that weren’t included in the original list.


Step 3: Completing Lot Information

When using a Pre-Move List, crews still need to create a Lot for the items.

Lot Setup Differences

  • The Tag Color field is optional.

  • The Lot Number automatically pre-fills with the Job Number for convenience.

  • Crews who do use stickers can still edit the Tag Color and Lot Number as needed.

💡Smart Tip: If your team doesn’t use stickers or lots, you can simply proceed without making changes, SmartMoving will handle the setup for you.


Step 4: Editing and Adding Items

When reviewing imported items:

  • Tap an item to view its details.

  • Existing notes and photos from the pre-move survey are already included.

  • Add any new damages or photos directly in the descriptive inventory.

If there are new items on move day that weren’t part of the pre-move inventory:

  • Tap Add Item.

  • Search for the item and add it just as you would during a normal descriptive inventory.


Summary

The Pre-Move List bridges the gap between estimated and actual inventories:

  • Pre-Move Inventory = Items captured before move day (for estimates).

  • Descriptive Inventory = Items handled and confirmed by the crew on move day.

Think of the Pre-Move List as a head start for your crew, especially for moves where you want to create a quick, accurate inventory that notes any existing damages before the move. This not only helps protect your company in the event of a claims filing, but also ensures the crew has an electronic copy of the inventory to provide to the customer on move day.

It’s ideal for standard residential moves where a full, item-by-item detailed inventory (like those required for DoD or Van Line moves) isn’t necessary.

By using the Pre-Move List, your team can work faster, maintain accuracy, and easily document key details without slowing down the moving process.
