How to Control which Crew Members Appear in Dispatch

In SmartMoving, the Termination Date helps you control which crew members appear in Dispatch without permanently removing them from your system. This is especially useful for companies that scale their workforce during peak seasons and then reactivate employees later.

This guide explains what the Termination Date does, how it affects Dispatch, and how to set or remove it.


What the Termination Date Does

  • It removes the crew member from Dispatch:
    Once a termination date is set for today or any date in the past, the crew member will no longer appear as an active option in Dispatch.

  • It does NOT delete the crew member from your system:
    The employee record remains in SmartMoving. You can still view their profile and historical information under Crew Members.

  • It allows easy reactivation:
    If the crew member returns (common during peak and non-peak seasonal shifts) simply remove the termination date to make them active in Dispatch again.


When to Use a Termination Date

Use a termination date when:

  • A crew member is no longer actively working.

  • You want to prevent their name from appearing in Dispatch assignments.

  • You plan to bring the employee back later and don’t want to delete the record.

  • You need to manage seasonal workforce changes efficiently.


How to Set a Termination Date

Follow these steps to remove a crew member from Dispatch:

  1. Navigate to Settings > Dispatch > Crew Members

  2. Find and select the crew member you want to update.

  3. Open the Employee Info tab.

  4. Locate the Termination Date field.

  5. Enter the termination date you want to apply.

    • If the date is today or in the past, the crew member will immediately be removed from Dispatch.

  6. Save your changes.


How to Reactivate a Crew Member

If the employee returns:

  1. Go back to Settings > Dispatch > Crew Members

  2. Select the crew member.

  3. Open the Employee Info tab.

  4. Clear the termination date (delete the date from the field).

  5. Save your changes.

The crew member will now appear in Dispatch again.
