How to allow customers to complete their own inventory with a mobile device or computer

Having an accurate inventory is key to providing an accurate estimate. As an alternative to onsite/phone estimates, you can invite the customer to complete a mobile-friendly inventory list to document exactly which items in their home will be included in their move. This digital inventory can be completed from their mobile device or computer.

How to Provide the Inventory Tool to a Customer

Option 1 - Access via their customer portal

You can instruct the customer to visit the Customer Portal and click Manage Inventory. The tool will then walk them through adding their items room by room.

The Moving Consultant can request that a customer complete an inventory list and can send them a direct link to the tool by email and/or text message.

First, navigate to the Sales tab on the opportunity.

Then, in the communication box, click Email to send the request via email or Text to send it via text message.

Next, click Apply Template and select your template for requesting inventory.

Note: The request inventory template is not yet a default in SmartMoving. To use this template, you must add it to your template settings. If you need help with your template, reach out to SmartMoving support for additional support.

Then, click Send Email or Send Text.


How to Determine if the Customer Submitted their Inventory

Once a customer submits their inventory list, the system will update in several locations:

Email notification

The Moving Consultant assigned to the lead will always get an email as soon as a customer submits their inventory.

If additional members of your team would like to be notified when an inventory list is complete, you can add them to the inventory submitted distribution list. This is a list of people that receive inventory notifications. You can configure your distribution list by navigating to Settings -> Company Settings -> Distribution Lists, or click here to go directly to the page. Then, add their email address to the Inventory Submitted Notification List.

​Note: Enter the email address for each team member that you wish to add to the distribution list. Use a comma to separate each email address, and do not add any spaces between the email addresses or commas.

The Activity Section of the Sales Tab

The activity stream in the sales module will flag all submitted inventories. The status will be listed as unreviewed until your team marks it as reviewed.

Sales Dashboard

Your sales dashboard has a count of all submitted, but not reviewed inventory submissions.

The list of opportunities that have submitted but not reviewed inventories can be found by navigating to the sales module and clicking on "My Leads". From here you will find a quick filter on the left labeled "Inventory Submitted". This filter will automatically filter to only those opportunities that need to have their inventory reviewed.

How to Mark an Inventory as Reviewed

Once a customer has submitted their inventory list, it is ready for review.

To review their inventory, go into the job estimate page and click Inventory to review their items.

To mark the list as complete, navigate to the sales tab of the opportunity.

In the activity stream locate the item labeled "Customer Submitted Inventory".

Then, click on the menu icon and select Mark Reviewed.

Note: If an inventory is marked as reviewed by mistake, you can then click Mark Unreviewed.
