Once a job has been completed, the crew must finalize the job to calculate final totals, generate the invoice, and close out the work. Finalizing a job also allows you to collect payment and send the move review and contract to the appropriate opportunity contacts.
This article walks through the full finalize workflow and explains how to choose which contacts receive review links and contracts.
Before You Start
The job must be marked as completed.
All services, materials, and time entries should be accurate.
Opportunity contacts should already be added to the job.
Note: Once a job is finalized, no further changes can be made from the Crew Application.
How to Do It
Step 1: Complete the Job
Step 2: Confirm End Time
Confirm the ending time for the job.
Select Next to continue.
Note: To adjust the labor clock select change. To return to the previous screen select Cancel.
Step 3: Add Time Deductions
Step 4: Review Services
Step 5: Review Materials
Step 6: Review Invoice
Review the invoice preview for accuracy.
If all charges are correct, select Go to Contract.
Step 7: Collect Signatures
Collect all required signatures for the contract and related documents.
Select Finalize Job at the bottom of the screen.
Step 8: Choose Payment Option
Select Take a Payment or Complete Job and Carry Balance.
Note: If you select to Complete the Job and Carry the Balance, no payment will be collected, and that job will be marked as completed. The balance for this job will be added to the total balance due for the opportunity.
Step 9: Collect Payment (If Applicable)
Allow the customer to select a tip amount, if prompted.
Choose the payment method.
Enter payment details or add a new payment method.
Note: Multiple payment methods can be used if needed.
Step 10: Finalize Payment
Step 11: Choose Review and Contract Recipients
When prompted, select which opportunity contacts should receive the move review and the contract.
Send Review and Contract To
The primary opportunity contact is selected by default.
Additional opportunity contacts can be selected if needed.
Review and contract recipients can be different.
Email and SMS options are shown based on the communication template settings for reviews and contracts.
Note: Review and contract recipients do not need to be the same.
Disabled Contact Sections
In some situations, the Review or Contract sections may be unavailable.
Review contacts may be unavailable if reviews are not set up to be sent for this job.
Contract contacts may be unavailable if contracts are not set up to be sent for this job.
If you tap a disabled section, a message appears explaining why it can’t be selected.
Step 12: Finalize the Job
Confirm your selections.
Select Finalize Job.
Now that the job has been completed, you can return to the dashboard to move on to your next job for the day.
Best Practices
Verify contact details before finalizing the job.
Keep the primary contact selected unless there is a clear reason to exclude them.
Send reviews only to contacts who are expected to provide feedback.
Troubleshooting
I can’t select contacts for reviews or contracts
Check that the appropriate communication triggers are enabled on the template.
Only email or SMS is available
Delivery methods are controlled by the communication template.
Additional contacts are missing
Confirm the contacts are added to the opportunity before finalizing the job.
