Overview

SmartMoving onboarding is a guided, hands-on experience designed to help you confidently set up your account and start running real jobs in the system.

Depending on your account type and business size, onboarding is led by a dedicated Onboarding Manager (OM) or Customer Success Manager (CSM), with support from Remedy Specialists and Professional Services when needed.

Over roughly 45–60 days, you’ll work closely with your Onboarding Manager or Customer Success Manager to configure your SmartMoving account, complete training, and prepare your team for long-term success.

This article walks through what onboarding includes, how to prepare for your kickoff call, and how to stay on track during your first few months in SmartMoving.

Before You Start

Before your kickoff call, make sure the right team members are available, especially those responsible for pricing, dispatch, or accounting.

During onboarding, you’ll be entering details such as rates, trucks, crew information, and accounting preferences. Having accurate information ready helps streamline setup and reduce follow-up steps.

If you’re a larger business with more complex operations, certain setup tasks, like document creation, templates, or data migrations, may be completed by SmartMoving Professional Services. Your Onboarding Manager or CSM will confirm this during kickoff.

💡 SmartTip: Gather your rates, crew details, and tax information in a single document before kickoff to make the session more efficient.

What SmartMoving Onboarding Includes

During onboarding, you’ll work with your Onboarding Manager or CSM to:

  • Configure your business structure (rates, crews, trucks, services)

  • Set up accounting and payment preferences (deposits, taxes, card processing)

  • Customize tariffs, workflows, and service settings

  • Enable integrations such as calendar sync, lead sources, and QuickBooks

  • Book and complete live jobs in SmartMoving

  • Complete SmartMoving Academy training for you and your team

Note: Your onboarding experience is personalized based on your company size, services, and goals.

Join Your Kickoff Call

Your kickoff call is your first hands-on onboarding session and focuses on actively setting up your SmartMoving account.

During this call, you will:

  • Begin configuring company settings, users, and pricing foundations

  • Review and confirm setup decisions from your intake

  • Identify follow-up items or additional configuration needs

  • Align on next milestones and upcoming onboarding sessions

This session is designed to move your account forward quickly, so having the right stakeholders and information ready is key.

💡 SmartTip: Have SmartMoving open in your browser and be ready to share your screen if needed. This allows your Onboarding Manager or CSM to guide you through setup in real time.

Bring the Right Information

You don’t need polished templates, just accurate information about how your business operates today.

Be prepared to provide details for:

Pricing & Services

  • Hourly moving and packing rates (by crew size and day of week)

  • Add-on fees (stairs, fuel, pianos, long carry, overnight)

  • Packing material names, costs, and pricing

Crew & Fleet

  • Team member names, roles, and contact information

  • Truck names, capacities, and branch assignments

Tax & Accounting Preferences

  • Tax rates and what they apply to

  • Deposit rules, card processing fees, and discounts

Other Setup Data

  • Lead and referral sources

  • Job and truck tags

  • Logo and company information for invoices and estimates

  • Optional domain for branded emails

💡 SmartTip: Visit the Tariff Configuration Hub for guidance on setting up rates and services.

Best Practices for a Successful Onboarding

SmartMoving works best when it reflects how your business actually operates.

  • Set accurate rates, crew data, and truck details

  • Stay engaged with your Onboarding Manager or CSM, onboarding is collaborative

  • Complete SmartMoving Academy modules early to reinforce setup decisions

  • Use real company data to ensure accurate pricing, workflows, and reporting

💡 SmartTip: Your check-ins with your Onboarding Manager or CSM are designed to help you hit key milestones, like your first estimate and first booked job. Come prepared to get the most value from each session.
