How to Print Barcode Labels as a Roll

Learn how to generate and print barcode or QR code labels in roll format from the SmartMoving web app using a Zebra or compatible thermal roll-label printer.

Overview

In addition to sheet-format label printing, SmartMoving supports printing barcode and QR code labels on roll-format label printers. Roll printing is designed for warehouse environments where thermal or roll-label printers are commonly used and higher-volume label output is needed.

The label generation workflow is the same as sheet printing, the only difference is the print format you select at the end of the wizard. Labels are generated as a PDF, so your roll printer must support printing directly from a PDF.

Before You Start

  • Inventory scanning must be enabled for your account. If the Generate QR / Barcode Stickers option is not visible, contact your administrator to confirm that scanning has been turned on under Settings > Crew App > Descriptive Inventory.

  • You will need a compatible roll-label printer loaded with 2Γ—4 inch roll labels. See Supported Printers and Label Format below.

  • Labels are generated from an existing opportunity, navigate to the opportunity before starting this workflow.

Roll-format printing has been tested with the following configuration:

How to Print Labels β€” Roll Format

Step 1: Open the Label Generation Wizard

  1. Navigate to the relevant opportunity in the SmartMoving web app.

  2. Open the Estimate tab.

  3. From the side menu, locate the Inventory Card.

  4. Click Generate QR / Barcode Stickers.

Step 2: Configure Your Labels

Work through the wizard to set up your labels:

  1. Select code type β€” choose either Barcode or QR Code. Both formats are supported in roll format.

  2. Enter the number of stickers to generate.

  3. Set the sticker number format:

    • Prefix β€” optional, up to 8 characters. Defaults to the quote number (e.g., #5221-).

    • Starting Number β€” required, defaults to 1.

    • Suffix β€” optional, up to 4 characters.

  4. Enter a Lot # β€” optional, but recommended. It will print on each sticker, and if your crew uses the Scan tab in the Crew App, this lot number will auto-populate in the Lot Details Drawer.

  5. Select which fields to display on the sticker β€” options include Customer Name, Job Number, Destination, and Company Name.

Step 3: Select Roll Format and Print

  1. Under Print Format, select Sticker Roll (2" x 4").

  2. Click Generate Stickers to create the label PDF.

  3. Review the preview to confirm label content and layout.

  4. Send to your roll-label printer.


Configuring a Zebra Printer

The following configuration has been tested with the Zebra ZD621, ZD620, and ZD421 printers. These settings may also work with other printers that support 2 Γ— 4 labels and direct PDF printing, but only these Zebra models have been officially tested.

For printer-specific setup or troubleshooting questions, please refer to the Zebra Support website for official documentation and assistance.

Before printing for the first time, configure your Zebra printer using the Zebra Setup Utilities app to ensure labels print correctly.


Troubleshooting

Note: For hardware-specific questions about your Zebra printer, visit the Zebra Support Center for documentation, drivers, and troubleshooting resources. SmartMoving support is unable to assist with printer hardware issues.

Printed content is bleeding from one label onto the next.

The printer may not be recognizing label boundaries. Run a test configuration print to reset it:

  1. Turn off the printer.

  2. Turn the printer back on and confirm there are no errors and no print jobs in the queue.

  3. Press and hold the Feed and Cancel buttons simultaneously for two seconds, then release.

  4. The printer will print a test configuration and should now recognize the boundaries between labels.

Label content is not centered correctly on the sticker.

The default label size in the printer wizard may be incorrect. Open the Zebra Setup Utilities app and verify that the label dimensions are set to 2.00 Γ— 4.00 inches as shown in the configuration steps above. Adjust and reprint.

The Sticker Roll option is not visible in the Print Format dropdown.

Inventory scanning may not be enabled for your account. Ask your administrator to verify the setting is turned on under Settings > Crew App > Descriptive Inventory.

Labels are not printing correctly in my browser.

Roll printing is only supported in Chrome and Edge. Switch to one of these browsers and try again. If the issue persists, confirm that your printer supports printing directly from a PDF, check your printer's manufacturer documentation or user guide for compatibility information.

The printer skipped one or more labels mid-batch.

Occasional label skipping is typically a printer calibration issue, not a SmartMoving issue. If this happens, run a test configuration print to recalibrate the printer: turn the printer off, turn it back on and confirm there are no errors or pending jobs in the queue, then press and hold the Feed and Cancel buttons simultaneously for two seconds and release. The printer will print a test configuration and should recognize label boundaries correctly on the next print run.


Best Practices

  • Run a test print of 2–3 labels before printing a full batch to confirm alignment and darkness settings on your specific printer.

  • Generate labels for all items on a job at once to reduce the chance of unlabeled items during a check.

  • Store unused roll label stock away from heat, moisture, and direct sunlight to prevent adhesive and print quality degradation.

  • If a label is damaged or falls off during a job, crew members can still confirm that item manually using the Item Check keypad or Inventory List in the Crew App.
