Overview
The Crew App includes a built-in barcode and QR code scanner accessible from the Item Details Drawer. Crew members can use their device camera to scan a label attached to a physical item and link that code to the corresponding item record in SmartMoving, without leaving the item's context or using a separate app.
This scanning capability is available on both iOS and Android devices.
Before You Start
Inventory scanning must be enabled for your account. Contact your administrator if you are unsure whether scanning has been configured.
Physical barcode or QR code labels must already be applied to the items you intend to scan. Labels are generated and printed from the SmartMoving web app by your office or admin team.
Ensure your device camera permissions are enabled for the SmartMoving Crew App.
Note: The Scanning functionality only appears in the Item Details Drawer when inventory scanning has been enabled for your account. Administrators can turn this on under Settings > Crew App > Descriptive Inventory.
How to Scan an Item from the Item Details Drawer
Open the Crew App on your mobile device and navigate to the relevant job.
Go to Inventory
Tap on the Descriptive Inventory section of the job.
Tap an inventory item to open the Item Details Drawer.
Inside the drawer, select the Scan button.
Your device camera will activate in scanning mode.
Once the scan is successful, the code is linked to that item record.
π‘SmartTip: If you are scanning in a low-light environment, use the flashlight icon that appears in the scanner view to activate your device's torch. This makes it easier to read labels in dim or poorly lit areas.
What Happens After a Successful Scan
Once a barcode or QR code is successfully scanned, the code is associated with the item record in SmartMoving. This link allows the item to be identified by its label in future scanning workflows, including inventory item checks.
If the scan does not read successfully:
Check that the label is clean, undamaged, and properly affixed to the item.
Ensure there is adequate lighting or activate the flashlight toggle.
Reposition the camera to ensure the full barcode or QR code is within the camera frame.
Try reducing or increasing the distance between the camera and the label.
If the label cannot be scanned, you can manually type the code directly into the scanner.
Best Practices
Hold the camera at a consistent distance from the label, roughly 4β8 inches works well for most label sizes.
Avoid scanning labels that are creased, torn, or obscured, as these may not read correctly.
If an item does not have a label yet, coordinate with your office team to generate and print one before the job begins.
Scan items as early in the job as possible to ensure all records are linked before check workflows begin.
