Understanding the Lot Details Drawer in Descriptive Inventory

Learn how the Lot Details Drawer works in the SmartMoving Crew App, including optional tag color, automatic Lot # pre-fill for accounts with barcode scanning enabled, and how to enter lot details manually.

Overview

When creating a lot during the Descriptive Inventory workflow in the Crew App, crew members enter lot details through the Lot Details Drawer. This drawer collects information about the lot, including tag color, lot number, and starting item number, before inventory recording begins.

Tag color is optional for all accounts. For accounts with barcode or QR code scanning enabled, the Lot # and Starting Item # fields may pre-fill automatically based on the most recently generated barcode batch for that opportunity, but only if those values were entered when the labels were generated.


Before You Start

  • The Descriptive Inventory workflow must be active on the job.

  • To take advantage of Lot # auto-fill, barcode or QR code labels must have been generated for the opportunity from the SmartMoving web app before the job begins, with a Lot # specified during generation. Auto-fill requires scanning to be enabled under Settings > Crew App > Descriptive Inventory.


What's in the Lot Details Drawer

When the Lot Details Drawer opens, crew members will see the following fields:

  • Tag Color β€” Optional. Enter a color tag to associate with this lot for visual identification during the move. You can proceed without entering a color.

  • Lot # β€” Required. A unique identifier for this lot. On accounts with barcode or QR code scanning enabled, this field may pre-fill automatically (see below). Otherwise, enter the lot number manually.

  • Starting Item # β€” Required. The item number assigned to the first item in this lot. On accounts with barcode or QR code scanning enabled, this field may pre-fill automatically if a Starting Item # was entered when the labels were generated.

Note: The screenshot above shows an example of the Lot Details Drawer with Lot # pre-filled and Tag Color listed as optional (no asterisk).


Lot # Auto-Fill (Scanning Accounts Only)

For accounts with Enable QR / Barcode Scanning turned on, the Lot # and Starting Item # fields in the Lot Details Drawer will automatically populate based on the most recently generated barcode batch for that opportunity, but only if those values were entered when the labels were generated. If either field was left blank during label generation, it will remain blank in the drawer and must be entered manually.

How it works:

  • If the most recent barcode batch was generated with a Lot # specified, that number pre-fills the field when the drawer opens.

  • If the most recent batch did not include a Lot #, the field remains blank and must be entered manually.

  • If multiple barcode batches have been generated for the opportunity, only the Lot # from the most recent batch is used.

πŸ’‘ SmartTip: To ensure the correct Lot # pre-fills in the Crew App, confirm with your office team that the Lot # was entered when generating barcode or QR code labels for the opportunity.

Note: Crew members can edit the pre-filled Lot # before saving if a correction is needed.


How to Complete the Lot Details Drawer

  1. During the Descriptive Inventory workflow, the Lot Details Drawer will open when it is time to create a lot.

  2. Enter a Tag Color if applicable, or leave it blank.

  3. Confirm or enter the Lot #. If scanning is enabled and a lot number pre-fills, verify it is correct before proceeding.

  4. Enter the Starting Item #.

  5. Tap Continue to proceed to inventory recording.
