Configuring Pre-Authorization Settings

Learn how to configure automatic pre-authorization in SmartMoving, including per-opportunity control, timing, buffer percentage, and auto-capture settings for job payments. Admin access required.

Overview

Pre-authorization settings control how SmartMoving handles automatic pre-authorization of a customer's saved card before a job.

You can configure whether pre-authorization runs automatically, the time of day it attempts, an optional buffer percentage over the total estimate, and whether payment is captured automatically when the crew collects it in the Crew App. Once enabled, you flag individual opportunities for pre-authorization so the system only acts on the jobs you choose.

Pre-authorization is activated for your account by the Remedy Payments team. If you don't see pre-authorization settings yet, book a call with Remedy Payments to get started.


Before You Start

  1. Admin-level access is required to configure pre-authorization settings.

  2. Pre-authorization must be activated for your account by Remedy Payments. If it is not turned on yet, book a call with Remedy Payments to get set up.


How To Configure Pre-Authorization Settings

  1. Go to Settings > Accounting & Profitability > Pre-authorization.


Auto Pre-authorize

2. Enable Auto Pre-authorize to allow automatic pre-authorization of a customer's saved card one day before the job date. This setting enables the feature system-wide, but pre-authorization only runs on opportunities where the per-opportunity toggle is turned on.


Auto Pre-authorize Timing

3. Use the Auto Pre-authorize Timing dropdown to select the hour of day for the pre-authorization attempt. Pre-authorization runs one day before the job date at the selected time. Learn more about Configuring Pre-Authorization Timing here.

Pre-authorize Buffer

4. Enable Pre-authorize Buffer to pre-authorize an amount above the total charges as a buffer.

5. Enter a value in the Buffer Percentage field. This percentage is applied to the total estimate to calculate the additional buffer amount.


Auto-capture

6. Enable Auto-capture to automatically capture the payment when the crew collects it in the Crew App using the same card that was pre-authorized.

Note: Pre-authorization will not re-run if it has already been processed, captured, expired, or deleted. Check the opportunity's activity log or the Payments card to confirm the status of any attempt.


Flagging an Opportunity for Pre-Authorization

After enabling Auto Pre-authorize in settings, a Pre-authorize this opportunity toggle appears on each opportunity. Use this toggle to control which opportunities are included in automatic pre-authorization.

The toggle is visible on both the Estimate page and the Accounting page of the opportunity.


How to Flag an Opportunity

1. Open the opportunity and go to the Estimate or Accounting page.

2. Turn on the Pre-authorize this opportunity toggle.

When the toggle is on, the opportunity follows the global pre-auth rules: automatic timing, buffer, and capture. The toggle can be turned on or off at any point before the pre-authorization runs.

Note: The Pre-authorize this opportunity toggle is only visible when the global Auto Pre-authorize setting is enabled. If the global setting is off, the toggle does not appear on opportunities.


Default Behavior

  • The toggle defaults to off for all opportunities. You opt in each opportunity individually after enabling the global setting.

  • Only opportunities with the toggle turned on are included in the automatic pre-authorization run.

  • All global settings (timing, buffer percentage, auto-capture) apply to flagged opportunities.
