How to Configure Crew App Settings for Descriptive Inventory

Set up Crew App permissions and display preferences to enable your crew members to use Descriptive Inventory, including short codes and exception symbols.

Overview

Before crew members can use Descriptive Inventory in the Crew App, an admin or manager must grant the appropriate permissions in the web app. Crew members can also configure personal display settings in their own Crew App to speed up inventory entry.


Before You Start

  • You must have admin or manager access to the web app.

  • Crew members must have Crew App access enabled on their user profile before permissions can be applied.


How To Configure Crew App Permissions

  1. Navigate to Settings > Crew App > Crew App Permissions.

  2. Locate the crew role you want to update.

  3. Enable the following permissions based on what each role needs:

Can manage descriptive inventories

Create and edit inventory lists

Can use pre-move item list

Access and work with pre-move lists

Can edit completed inventory and reset signatures

Modify finalized inventories and clear signatures

Can bulk mark and unmark received items

Mark or unmark multiple items as received at once

4. Save your changes.

Note: Permissions are role-based. Any change applies to all crew members assigned that role.


How To Enable Short Codes and Exception Symbols

Short codes and exception symbols allow crew members to enter inventory items and damage notes faster using shorthand (for example, CH for Chair, BR for Broken).

Admin or Manager (Web App):

  1. Confirm the crew member has Crew App access on their user profile.

  2. Confirm the crew member has the Can manage descriptive inventories permission enabled.

Crew Member (Crew App):

Once the above is confirmed, the crew member can enable these settings in their own Crew App:

  1. Open the Crew App and go to Settings.

  2. Toggle on Show Item Short Codes to display shorthand item labels (for example, CH for Chair).

  3. Toggle on Show Exception Symbols to display damage shorthand (for example, BR for Broken, SC for Scratched).

πŸ’‘SmartTip: Short codes and exception symbols are especially useful for experienced crew members who process large inventories. Consider enabling them during training so crew becomes familiar with the shorthand early.
