Deleting Accounts and Projects

Learn how to permanently delete a commercial account or project in SmartMoving, what cascades to related jobs and documents, and the confirmation steps that protect you from accidental deletion.

Overview

Deleting an account or project permanently removes it from SmartMoving, along with everything beneath it in the hierarchy. Because the action cannot be undone, SmartMoving gates deletion behind a dedicated permission, shows you exactly what will be removed, and requires you to type the account or project name before the delete button becomes active. Use this article to understand where the delete action lives, what happens to related data, and how to avoid removing records you still need.


Before You Start

  • Available to companies with Smart Pro.

  • You must have the Delete Accounts, Projects and Jobs permission. This permission is separate from the Accounts permission and is typically reserved for administrators.

  • The account or project must already exist and be visible in your list.

  • Deletion is permanent. Once the confirmation is accepted, there is no restore or undo.

  • Consider whether changing the account or project Status (for example, to Inactive or Closed) would meet your need instead of deleting.

Note: The delete option will not appear in the actions menu if your role does not include the delete permission. If you believe you should have access, contact your SmartMoving administrator.


How to Delete an Account

  1. Click Accounts in the left sidebar.

  2. Locate the account in the Business column.

  3. Click the three-dot actions menu at the end of the row.

  4. Select Delete Account.

  5. Review the confirmation dialog. It lists every project and job that will be deleted along with the account.

  6. Type the exact account name into the confirmation field. The Yes, Proceed button stays disabled until the name matches.

  7. Click Yes, Proceed.

  8. SmartMoving displays the message "Account will be deleted shortly" and the account is removed from the list.

💡 SmartTip: The confirmation dialog is your last chance to review the scope of the deletion. Expand the list of projects and jobs and confirm that none of them are still active before you type the name.


How to Delete a Project

  1. Open the account's detail page.

  2. Scroll to the Projects card on the Overview tab.

  3. Find the project in the table and click the three-dot actions menu at the end of the row.

  4. Select Delete.

  5. Review the confirmation dialog. It lists every job that will be deleted with the project.

  6. Type the exact project name into the confirmation field.

  7. Click Yes, Proceed.

  8. SmartMoving displays the message "Project will be deleted shortly" and the project is removed from the account.

Note: Name matching is case-insensitive and ignores leading or trailing spaces, but the rest of the text must match exactly. If your account or project name includes special characters, copy and paste it from the page header to avoid typos.


What Happens to Related Data

Deletion cascades down the hierarchy, but some related records are preserved.

Deleting an Account

  • Projects: Every project under the account is deleted.

  • Jobs: Every job under every project is deleted, including estimates, bookings, and job-level history.

  • Customers tied to deleted projects: The customer record created for each project is removed.

  • Documents: Account-level and project-level documents are detached from the account and project rather than deleted. They remain in the file system but are no longer linked to a business record.

  • Activity log: A "deletion finished" entry is written to the company audit activity so administrators can see who deleted the account and when.

Deleting a Project

  • Jobs: Every job under the project is deleted.

  • Customer record: The customer tied to the project is removed.

  • Documents: Project-level documents are detached from the project and retained in storage.

  • Activity log: A "deletion finished" entry is written to the audit activity for the company.

  • Account: The parent account and its other projects are not affected.

Note: Deletion runs as a background job. Large accounts with many projects and jobs may take a few minutes to fully process. The account or project disappears from the list immediately, but reporting and invoice exports may briefly continue to show related records until the job finishes.
