Overview
Notes let you capture context, decisions, and updates directly on a commercial account so your whole team has the same history in one place. From the Notes tab on the Account Details page, you can add a new note, edit or delete an existing one, and pin important notes to the top of the list.
Before You Start
Available to companies with Smart Pro.
You must have Accounts permission.
The account must already be created.
Where to Find Notes
Click Accounts in the left sidebar.
Click an account name in the Business column to open the Account Details page.
Open the Notes card on the Overview tab.
The Notes card shows the total number of notes in the header and keeps the input field visible even when the card is collapsed, so you can add a note without expanding the full list.
Adding a Note
Open the account's detail page.
In the Notes card, type your note in the Add notes text field.
Click Add Note.
The new note appears in the list with your name as the author and a timestamp. Notes support up to 4,000 characters.
đĄ SmartTip: Keep notes short and specific. One decision, update, or follow-up per note is easier to scan than a long running log.
Editing and Deleting Notes
Each note has a menu (the three-dot icon in the upper right of the note card) with options to edit or delete it.
Edit a Note
Click the menu icon on the note.
Click Edit.
Update the text in the note field.
Click Update Note to save, or Cancel to discard your changes.
Edited notes display the name of the user who last updated them and the date and time of the update, in addition to the original author and created date.
Delete a Note
Click the menu icon on the note.
Click Delete.
Confirm the deletion in the prompt.
Note: Deleting a note is permanent and cannot be undone.
Pinning Notes
Pin a note to highlight it at the top of the list so important information stays easy to find.
Pin a Note
Click the menu icon on the note.
Click Pin.
Pinned notes display a pin icon next to the author name so they stand out from regular notes.
Unpin a Note
Click the menu icon on a pinned note.
Click Unpin.
đĄ SmartTip: Use pinning for standing instructions a rep needs every time they touch the account, such as billing exceptions, preferred contacts, or special access requirements. Keep the pinned list short so the highlights stay meaningful.
