Overview
Commercial jobs move through a status lifecycle from Opportunity to Booked to Completed or Closed. When plans change, admins can adjust a job's status from the Job Details page header:
Unbook returns a Booked job to Opportunity status while keeping the estimate intact.
Cancel marks a Booked job as Cancelled and records a reason.
Reopen returns a Cancelled job to Opportunity status so it can be rebooked.
These actions live on the job header inside an account project, mirror the residential opportunity workflow, and respect the same role permissions.
Before You Start
Available to companies with Smart Pro.
You must be an admin (typically an owner) to see these actions.
The Unbook action requires the Unbook Jobs permission.
The Cancel action requires the Cancel Jobs permission.
The job must already exist inside an account project. Open the project, then open the job to access the header.
A cancellation reason list must be configured for your tenant so users can choose one when canceling.
Note: The header primary button changes based on the job's current status and your permissions. If you do not see Unbook, Cancel, or Reopen, check the job status and your role.
Status Transitions at a Glance
Action | Available From | Moves Job To | Reason Required | Customer Notification Prompt |
Book | Opportunity | Booked | No | Yes |
Unbook | Booked | Opportunity | No | No (simple confirm) |
Cancel | Booked | Cancelled | Yes | Yes |
Reopen | Cancelled | Opportunity | No | No (simple confirm) |
đĄ SmartTip: When both Unbook and Cancel apply to a Booked job, the header shows a split button. The primary action is Unbook and a dropdown arrow exposes Cancel.
How to Unbook a Job
Use Unbook when you need to release the job from the schedule but keep the estimate and the project so you can rebook later.
Open the account, then open the project that contains the job.
From the project, open the job to load the Job Details page.
In the header, confirm the status badge reads Booked.
Click Unbook in the header.
If your role can also cancel, the header is a split button. Click the Unbook side, not the dropdown.
In the Unbook this job? confirmation, click the confirm button to proceed, or click Cancel to keep the booking.
The status badge changes to Opportunity and the header primary button changes to Book so you can rebook when ready.
How to Cancel a Job
Use Cancel when the job will not happen and you need a permanent record of why.
Open the account, then open the project, then open the job.
In the header, confirm the status badge reads Booked.
Click the dropdown arrow next to the primary action and choose Cancel.
If Unbook is not available to you, Cancel appears as the primary button instead.
In the Cancel Job? dialog, select a Cancellation Reason from the dropdown. This field is required.
Choose which contacts to notify of the cancellation.
Click the confirm button to cancel the job, or close the dialog to keep it Booked.
The status badge changes to Cancelled and the header primary button changes to Reopen.
Note: You cannot save the cancellation until a reason is selected. The confirm button stays disabled while the reason field is empty.
How to Reopen a Job
Use Reopen when a previously cancelled job is back on. Reopening returns the job to Opportunity status so you can review the estimate and book it again.
Open the account, then open the project, then open the cancelled job.
In the header, confirm the status badge reads Cancelled.
Click Reopen in the header.
In the Reopen this job? confirmation, click the confirm button to proceed.
The status badge changes to Opportunity and the header primary button changes to Book.
Side Effects
Status changes ripple across the rest of the job. Review what each action does before you commit.
Estimate tab editing. When a job is Closed or Cancelled, the estimate body locks down. Charges, stops, surveys, box deliveries, and the charges-card kebab are read-only. Completed jobs keep Scheduling, Stops, Charges, and Notes editable so finalizing details still works. Reopening or unbooking restores edit access.
Re-rate button. The Re-rate button is hidden when the job is Closed so rates cannot be recalculated against a finalized job.
Accounting tab. The Accounting tab is only available when the job is Booked, Completed, or Closed. On an Opportunity or Cancelled job, the tab is disabled and shows the tooltip "Not available until the job is booked." If you reach the URL directly, you are redirected to the overview. After you Close or Reopen a job from the Accounting tab, the header status badge updates automatically.
Contacts, Tasks, and Activity. These remain accessible in every status so you can continue to log communication and history.
Customer notifications. Booking and canceling both prompt you to select which contacts to notify. Unbooking and reopening do not send notifications.
History. Every status change is captured on the job so you can audit what changed, who changed it, and when.
đĄ SmartTip: If a Cancelled or Closed job looks "stuck" because side panels and the kebab are grayed out, that is the read-only lockdown protecting finalized data. Reopen or unbook the job to make edits, then return it to the correct status.
Best Practices
Use Unbook when the job is likely to still happen and you only need to release the schedule slot.
Use Cancel when the job is truly off so the cancellation reason is captured for reporting.
Always pick the most accurate cancellation reason. It feeds tenant reporting on lost work.
Notify the contacts who need to know. Booking and canceling are the two moments where notification matters most.
Reopen instead of creating a new job when a previously cancelled job comes back. Reopening preserves the estimate, history, and contact thread.
If you need to edit a Closed or Cancelled job, reopen or unbook first, make the edits, then return the job to the correct status.
Confirm the status badge in the header after each action so you know the change was saved.
