Add, label, and manage the credit and debit cards saved to an opportunity so your team can take payments without asking the customer for card details again.
Before You Start
Available to accounts that take card payments through Remedy Payments.
The Payments card appears on the opportunity's Estimate page and Accounting page. If card processing is not set up for your account, the Cards tab opens a prompt to book a call with Remedy Payments instead of your saved cards. You can also book a card plan discussion directly.
The Auto Pre-authorize section inside the Cards tab appears only when pre-authorization is activated for your account and Auto Pre-authorize is turned on in Settings > Accounting & Profitability > Pre-authorization. Pre-authorization is included with your Remedy Payments account and is activated by the Remedy Payments team. To get set up, book a pre-authorization call.
The E-Check tab appears only when E-Check is available for the opportunity's service type. E-Check is set up per branch, so a branch without it does not offer E-Check even when another branch does.
How To Open the Cards Tab
Open the opportunity and go to the Estimate page.
Find the Payments card in the right sidebar.
Select the Cards tab.
The Cards tab lists every card saved to the customer, with a count beside the tab name.
What Each Tab on the Payments Card Shows
The Payments card groups everything about money on the opportunity into one card. This table covers what each tab holds.
Tab | What it shows |
Transactions | Captured, pending, and refunded payments for this opportunity, including pre-authorization records. |
Cards | Every credit and debit card saved to the customer, the Auto Pre-authorize setting for this opportunity, and the actions for each card. The tab name shows a count of saved cards. |
E-Check | The Require backup card setting, which saves a credit card as a fallback when the customer pays by E-Check, and below it Saved E-Check Accounts, the bank accounts the customer has already paid from. The tab name shows a count of saved E-Check accounts. |
To take a payment or run a pre-authorization, use + Payment in the Payments card header and select Take Payment or Pre-authorize Payment.
How To Add a Card on File
Open the Cards tab on the opportunity's Payments card.
Click Add Card.
Confirm the details under Confirm billing address for new card: Name On Card, Street Address, and Postal Code.
Click Next.
Enter the card number, expiration date, and security code on the secure card form.
The card appears in the Cards tab and becomes available the next time your team takes a payment on this opportunity. No charge is made when you add a card.
When no cards are saved yet, the Cards tab shows No cards on file with an Add a card button.
Note: Name On Card requires both a first and last name and cannot contain commas. Enter it as "FirstName LastName."
Note: An opportunity needs a customer assigned before you can add a card. If no customer is assigned, SmartMoving shows the message "This opportunity has no customer assigned yet."
For the other ways a card gets saved to an opportunity, including having the customer add one themselves, see How to Save a Credit or Debit Card on File for an Opportunity without Processing a Payment.
How To Set a Default Card
The default card is the one SmartMoving suggests first when your team takes a payment on the opportunity.
Open the Cards tab on the opportunity's Payments card.
Click the menu icon on the card you want to use.
Select Set as default under Payment.
The card gets a Default label and SmartMoving confirms with "Default card updated."
How To Choose Which Card Pre-authorization Uses
When Auto Pre-authorize is on for an opportunity, SmartMoving places the hold on the card tagged for pre-authorization.
Open the Cards tab on the opportunity's Payments card.
Turn on Auto Pre-authorize this opportunity.
Click the menu icon on the card you want to use.
Select Use for pre-auth under Pre-authorization.
The card gets a Pre-auth label, SmartMoving confirms with "Pre-auth card updated," and a green band appears at the bottom of the Payments card reading "Auto Pre-authorization enabled. Will use the pre-auth card selected on this opportunity."
To stop using a card for pre-authorization, select Stop using for pre-auth from the same menu.
Note: Turning on Auto Pre-authorize this opportunity with no card saved shows a warning band reading "This customer doesn't have a saved card yet. Add one to this opportunity. Once it reflects in the opportunity, try turning this on again." Add a card in the Cards tab, then turn the setting on again.
For the timing, buffer, and capture rules that apply to a pre-authorization, see Configuring Pre-Authorization Settings.
What the Card Labels Mean
Cards in the Cards tab carry labels showing how each one is used. This table covers every label.
Label | What it means |
Default | The card SmartMoving suggests first when your team takes a payment on this opportunity. |
Pre-auth | The card Auto Pre-authorize places the hold on for this opportunity. |
E-Check Back-up | The card SmartMoving charges if the customer's E-Check payment fails. |
Expired | The expiration date on the card has passed. Expired cards cannot be used for payments, pre-authorization, or as an E-Check backup card. |
Each card also shows the card brand, the last four digits, the cardholder name, and the expiration date.
What You Cannot Do With an Expired Card
An expired card stays in the Cards tab for reference, and its menu actions are unavailable. Selecting one shows the reason:
Set as default: "Expired cards can't be used for payments."
Use for pre-auth: "Expired cards can't be used for pre-authorization."
Set as backup method: "Expired cards can't be used as the E-Check backup card."
Add a current card to the opportunity, then apply the label you need to the new card.
How To Remove a Card
Select Remove card from the card's menu in the Cards tab. Removal takes the card off the customer's record everywhere it appears, not only this opportunity, so read How to Remove a Saved Payment Method before removing one.
What the E-Check Tab Holds
The E-Check tab sits beside Cards and holds two things.
Require backup card, the setting that asks the customer to save a credit card alongside their bank details. The sub-line reads "Require a backup card for E-Check payments in case the E-Check bounces."
Saved E-Check Accounts, the bank accounts the customer has already paid from. Each shows the last four digits and the account holder's name, with Remove E-Check in its menu. When there are none, the list reads No saved E-Check accounts.
An E-Check account is saved when the customer pays by E-Check from the Customer Portal. Your team cannot add one from the office.
Getting These Features Turned On
The Remedy Payments team sets up each payment feature for your account and walks you through the options.
To take credit and debit card payments, book a card plan discussion with Remedy Payments.
To use pre-authorization, which is included with your Remedy Payments account, book a pre-authorization call.
To take E-Check payments, book an E-Check plan discussion with Remedy Payments.
Best Practices
Add the customer's card to the opportunity as soon as you collect it so your team can take payment without a second call.
Set a default card on opportunities with more than one saved card so the right card is suggested at checkout.
Tag a pre-auth card whenever you turn on Auto Pre-authorize, so the hold lands on the card you intend.
Check the expiration date on a saved card before a job date that falls near it, and collect a current card if it will have expired.
Troubleshooting
The card would not save.
SmartMoving shows "We were unable to store that card" with the reason from the payment processor. Click Try Again and re-enter the card details. Check that the postal code matches the card's billing address, since a mismatch is a common decline reason.
The Name On Card field will not accept the name.
Name On Card needs both a first and last name and rejects commas. Enter "FirstName LastName" rather than "LastName, FirstName."
The Cards tab shows a prompt to book a call instead of my saved cards.
Card processing is not set up for your account yet. Selecting Cards opens a prompt to book a call with Remedy Payments, who turn card processing on. You can also book a card plan discussion directly.
The E-Check tab shows a prompt to book a call.
E-Check is not set up for that branch. Book an E-Check plan discussion with Remedy Payments to get it turned on.
The E-Check tab says No saved E-Check accounts.
The customer has not paid by E-Check from the Customer Portal yet. An account is saved there when they do, and there is no way to add one from the office. Require backup card above the list works whether or not an account is saved.
I do not see the Auto Pre-authorize section in the Cards tab.
Pre-authorization is activated for your account by the Remedy Payments team, and Auto Pre-authorize also has to be on in Settings > Accounting & Profitability > Pre-authorization. Pre-auth is included with your Remedy Payments account, so book a pre-authorization call to get set up.
FAQs
Where did the Cards on File section go?
Saved cards live in the Cards tab of the Payments card on the opportunity's Estimate or Accounting page.
Can one card carry more than one label?
Yes. A single card can be the default, the pre-auth card, and the E-Check backup card at the same time, and it shows all of those labels in the Cards tab.
Do cards saved on one opportunity appear on the customer's other opportunities?
Yes. Cards are saved to the customer, so a card added from one opportunity's Cards tab is available on that customer's other opportunities. The Default, Pre-auth, and E-Check Back-up labels apply per opportunity.
Do I need pre-authorization to save a card on file?
No. Saving a card, setting a default, and requiring an E-Check backup card all work without pre-authorization. Pre-authorization is a separate feature the Remedy Payments team activates, and only the Auto Pre-authorize section of the Cards tab depends on it.
Why is the settings icon beside Auto Pre-authorize grayed out?
The settings icon opens the per-opportunity pre-authorization overrides and is available only when Auto Pre-authorize this opportunity is turned on. The tooltip reads "Enable Auto Pre-authorize to customize." A Custom badge appears beside Auto Pre-authorize when this opportunity uses overrides instead of your global settings.
Can the customer add or remove their own saved card?
A customer can add a card when you send an estimate with a $0 deposit and the Offer Card on File option turned on. Customers cannot remove a saved card. Removal is done by your team in the SmartMoving web app. A card the customer uses for a payment is saved automatically when your gateway account is set to store all cards.
Can I add a saved E-Check from the Cards tab?
No. The Cards tab holds credit and debit cards. Saved bank accounts live one tab over, under Saved E-Check Accounts in the E-Check tab, and they cannot be added from the office at all: an account is saved when the customer pays by E-Check from the Customer Portal. The E-Check tab is also where Require backup card is turned on for the opportunity.
