Seeing Assigned Crew on the Job Calendar Job List

See the names of the crew assigned to each job in the Trucks / Crew column of the SmartMoving Job Calendar Job List, without opening each job.

What does the Job List show about crew?

The Job List on the Job Calendar lists every job for a day in one table. The Trucks / Crew column shows who is on each job, so you can check staffing for the day without opening every job.

  • The column shows the number of trucks and crew, such as "2 trucks / 3 crew."

  • Below the counts, the names of the crew assigned to the job appear in parentheses, in alphabetical order.

  • Crew names come from the dispatch slot the job is assigned to on the Dispatch Scheduling page.


Before you start with the Job List

  • You need the Calendars permission to open the Job Calendar.

  • Crew names appear only for jobs assigned to a dispatch slot with crew on it. Assign crew in Dispatch on the Scheduling tab.

  • The Job List is available on the web app only.


How do I see assigned crew on the Job List?

  1. Go to Calendars and open the Job Calendar.

  2. On the day you want to review, click List. The Job List opens for that day. You can also open it by clicking View Details in the day's details panel.

  3. Find the Trucks / Crew column. For each job with assigned crew, the names appear in parentheses under the truck and crew counts, such as "(Dana Ruiz, Marcus Hale, Priya Shah)."

  4. To keep a copy for the day, click Print. The printed list includes the crew names.


Key details about crew on the Job List

  • Names come from the job's dispatch slot. The crew shown are the people assigned to the slot the job is dispatched to.

  • Names appear as soon as crew are assigned. They show whether or not the day's schedule has been published.

  • Counts follow the dispatch slot for dispatched jobs. For a job on a dispatch slot, the truck and crew counts reflect what is assigned to that slot. For a job that is not yet scheduled, the counts show the trucks and crew quoted on the estimate.

  • No names line appears when no crew are assigned. This includes unscheduled jobs, jobs on a dispatch hold, and slots with trucks but no crew, which show "0 crew."

  • Crew roles are not shown. Drivers, foremen, and other crew appear together by name.

  • Multi-day jobs show the same crew on each day. A job that runs across several dates lists its slot's crew on every date it appears.

  • Sorting the column sorts by truck count. Clicking the Trucks / Crew header orders jobs by the number of trucks, not by crew names.

  • Long crew lists wrap onto more lines so every name stays visible.


Best practices for crew on the Job List

  • Review the Job List at the end of dispatch planning to confirm every booked job has crew before the day is published.

  • Print the Job List for the day to give your office a single sheet showing who is on each job.

  • Use the Job List to spot jobs showing "0 crew" and fill those slots on the Scheduling page.


Troubleshooting crew on the Job List

  • A job shows no crew names.

    • The job is not assigned to a dispatch slot, or its slot has no crew assigned. Open Dispatch, click the Scheduling tab, and assign crew to the job's slot.

  • The truck and crew counts do not match the estimate.

    • For a dispatched job, the counts show what is assigned to its dispatch slot, which can differ from what was quoted. Adjust the assignment on the Scheduling page if the job needs more trucks or crew.

  • I cannot open the Job Calendar.

    • The Job Calendar requires the Calendars permission. Ask an admin to add it to your role.
