Overview
Commercial Contacts Sync brings the contacts on your commercial accounts into Smart Marketing, so you can build commercial segments and send them email campaigns.
Your company turns the sync on in Settings > Smart Marketing > Contacts Sync. Synced commercial contacts count toward your Smart Marketing billable contacts.
Before You Start
Who can turn on Commercial Contacts Sync: users with the Marketing permission.
Available to companies with Smart Pro and Smart Marketing.
Every synced commercial contact is included in your billable contact count.
Note: If your company does not have Smart Pro, the Contacts Sync page shows only the affiliate option.
How Commercial Contacts Sync Works
Commercial Contacts Sync copies the contacts on your commercial accounts into Smart Marketing and keeps them up to date.
Every contact on your commercial accounts with a valid email address syncs, whatever the account's status.
The first sync starts as soon as you turn the sync on. After that, contacts sync again every night.
Smart Marketing keeps each commercial contact's name, email address, and the service date of their most recent completed commercial job.
Each email address becomes one contact, even when it appears on more than one commercial account.
A person who is already a Lead, Customer, or Affiliate in Smart Marketing keeps that contact type. They count once toward your billable contacts.
Unsubscribed email addresses stay unsubscribed and are never synced as commercial contacts.
A contact you remove from a commercial account is removed from Smart Marketing on the next nightly sync.
How to Turn On Commercial Contacts Sync
Go to Settings > Smart Marketing > Contacts Sync.
Find Enable Commercial Contacts in Smart Marketing.
Turn the toggle on. The Enable Commercial Contacts Sync dialog opens and reminds you that commercial contacts count toward your billable contacts.
Click Continue.
The result: the message Your commercial contacts are getting synced into your contacts. appears, and your commercial contacts start arriving on the Contacts page.
Note: After you change the setting, the toggle stays greyed out until you reload the page.
How to Find Commercial Contacts on the Contacts Page
Once the sync is on, commercial contacts appear alongside your other Smart Marketing contacts.
The Type column shows a Commercial badge on each commercial contact.
The type filter lists Commercial with Lead, Customer, and Affiliate. Select Commercial on its own to see only commercial contacts.
The active contacts count at the top of the page includes your commercial contacts.
You can deactivate and reactivate commercial contacts the same way as any other contact. A reactivated contact keeps its Commercial type.
What Happens When You Turn Off Commercial Contacts Sync
Turning off Commercial Contacts Sync takes commercial contacts out of Smart Marketing and turns off every campaign that targets them.
Go to Settings > Smart Marketing > Contacts Sync.
Turn off Enable Commercial Contacts in Smart Marketing. The Disable Commercial Contacts Sync dialog opens.
Click Continue.
While the sync is off:
Commercial contacts are moved to inactive and stop counting toward your billable contacts. They are hidden from the Contacts page.
Every active campaign that targets a commercial segment is turned off. Its scheduled sends and drip emails do not go out.
Commercial campaigns cannot be edited, duplicated, rescheduled, or turned back on.
Commercial segments are kept, and they are hidden from your segment list.
Residential and affiliate contacts, segments, and campaigns are not affected.
⚠️ Warning: Turning the sync off turns off every active commercial campaign at once. Turning the sync back on does not turn those campaigns back on. You turn each one back on yourself.
When you turn the sync back on:
Your commercial segments reappear.
Your commercial campaigns stay off until you turn each one back on.
Commercial contacts that were synced before appear under Inactive Contacts. Reactivate them to include them in segments and campaigns again.
Note: Commercial Contacts Sync also turns off, with the same results, if your company no longer has Smart Pro.
Troubleshooting
The commercial option does not appear on the Contacts Sync page.
Your company needs Smart Pro for the commercial option to appear.
The Commercial Contacts Sync toggle is greyed out.
The toggle locks after each change. Reload the page to change it again.
A contact from a commercial account does not show the Commercial badge.
That email address was already a Lead, Customer, or Affiliate in Smart Marketing, so it keeps that type. The contact is still counted once.
A commercial contact is missing from Smart Marketing.
Check that the contact has a valid email address on the commercial account and has not unsubscribed. New contacts arrive with the nightly sync.
Reactivating a commercial contact shows "This action cannot be done because the Commercial Contacts Sync is not active."
Commercial Contacts Sync is off. Turn it on in Settings > Smart Marketing > Contacts Sync, then reactivate the contact.
My commercial segments look nearly empty after turning the sync back on.
The contacts synced before are waiting under Inactive Contacts. Reactivate them to add them back.
Best Practices
Check your billable contact count before you turn the sync on, since every commercial contact with an email address is added.
Add email addresses to the contacts on your commercial accounts. A contact without one cannot sync.
Before you turn the sync off, note which commercial campaigns are active so you can turn them back on later.
