Understanding how to enable and use automatic estimate calculations

Automatic calculation, when enabled, allows SmartMoving to automatically update prices as you add or change different items on the opportunity that affect the cost. SmartMoving auto-calculates things like trip fees based on mileage, number of crew members, etc. to keep everything in sync and help prevent errors. For instance, if someone changes the number of crew members on a job, the hourly rate and total estimate price will automatically update to ensure the estimate is as accurate as possible.

In other words, when automatic calculations are enabled, updates will automatically cascade down to also update related items.

Why doesn't SmartMoving just re-calculate all values every time?

There are many instances where a moving consultant may make special pricing adjustments to parts of the estimate that deviate from the standard calculated values. When those adjustments are made it's desirable to not have those overwritten if at a later time someone edits the estimate and makes a minor change, like adding a few additional pieces of furniture to the inventory list.

In this instance, we don't want the software to overwrite the changes we've made and adjust the estimate total. SmartMoving puts the re-calculate control in the hands of the user to decide when and where these re-calculations are made.

Enabling / disabling automatic calculations

Automatic calculations are on by default for any new opportunity you create unless it's turned off in your settings.

To enable / disable automatic calculation, navigate to Settings -> Estimate Settings -> Common.

Then, enable/disable the "Auto-recalculate new estimates" toggle.

When auto calculate is enabled in the settings, automatic recalculation will only be active the first time you create a new opportunity. Subsequent edits of an opportunity will not have auto calculate on by default to prevent SmartMoving from overwriting any custom pricing edits you have made.

Once you close the opportunity, you’ll need to enable the Recalculate toggle when you return to the estimate if you want to enable automatic calculation going forward.

Note: Once the Recalculate toggle is enabled on a job after the initial creation, it will remain enabled until you disable it. You can turn this toggle on or off at any time. If auto-recalculate is disabled, the automatic cascading updates will not occur.
