How storage transactions look in QuickBooks after being synchronized

Once your SmartMoving transactions are synced with QuickBooks, you can see them in both SmartMoving and QuickBooks.

There are four types of transactions that are synchronized:

  • Invoices

  • Payments

  • Refunds

  • Credits

Viewing synced storage transactions in QuickBooks

Navigate to Storage > Accounts (or click here to go directly to the page), and select an account.

First, click the invoice, payment, credit, or refund you want to view in QuickBooks.

Then, in the QuickBooks Sync section, click View in QuickBooks.

Once you are logged in to QuickBooks, you will see the item as it appears in SmartMoving:

  • Invoices include the products and services determined in your SmartMoving settings. Invoice payments will be applied to the invoice automatically.

  • Payments will automatically link with any invoices they have been applied to. If any full or partial refunds have been applied to a credit card payment, an expense line item will also appear.

  • Refunds appear as an expense in QuickBooks, and they contain a Memo field to add notes and details about the refund. Although an accounts receivable (A/R) account must be selected for refunds in SmartMoving, you can change the category in Quickbooks. However, if changed, the expense will no longer reflect correctly in the customer's QuickBooks profile.

  • Credits appear as Credit Memos in QuickBooks.

QuickBooks does not allow you to directly apply a credit memo to an invoice—it must be linked through a payment. For that reason, applying a credit memo to an invoice in QuickBooks automatically creates a payment item. You can click a payment to see which credit memos and invoices it applies to.
