How to sync storage invoices, payments, credits, and refunds to a QuickBooks account

SmartMoving allows you to integrate and automatically sync with QuickBooks. Once you've set up your QuickBooks integration, you can map storage invoices and payments to automatically sync your SmartMoving transactions with QuickBooks.

Navigate to Settings -> Integrations -> QuickBooks / Intuit (or click here to go directly to the page). To continue with this process, ensure you have already set up your QuickBooks integration.

Prerequisite: Disable Auto-Application of Credits in QuickBooks.

You must disable the auto-application of credits in your QuickBooks settings. SmartMoving will apply payments and credits to invoices for you. To ensure this setting is disabled, sign into your QuickBooks account, then navigate to your Account and settings page:

Go to Advanced -> Automation, and disable "Automatically apply credits." Your settings should look like this:

Step 1: Creating Storage Mappings

First, click the Storage Mappings tab.

Then, for each Invoice line item, use the dropdown menu to select the QuickBooks item to link it with.

If a QuickBooks item title does not appear, select the settings icon, and from the slide-out screen select Update Lists to refresh the list. Then, wait for SmartMoving to pull your latest item and account information, then refresh the page and continue.

Note: For storage credit, you can select your general "storage" service or product. However, if you wish to track storage credits separately, you can create a specific product or service in QuickBooks and select it in SmartMoving.

Step 2: Creating Account Mappings

First, click the Account Mappings tab.

Then, for each payment type, use the dropdown menu to select a QuickBooks account to link it with.

Note: For refunds, you must select a QuickBooks Accounts Receivable (A/R) account. If an A/R account is not available in the dropdown menu, you must go into your QuickBooks account and create a new A/R account to link to in SmartMoving.

IMPORTANT: Once your mappings are created, all new transactions will be automatically synced. Enabling the integration will not sync prior transactions; Any existing storage invoices, payments, refunds, and credits will not sync automatically and must be synced manually.
