How to Mark High Value Items and Firearms in Descriptive Inventory

Learn how crew members can mark inventory items as High Value (HVI) and/or Firearms in the Descriptive Inventory flow and where those visual indicators appear across inventory documents and reports.

Overview

The Descriptive Inventory flow in SmartMoving allows crew members to flag items as High Value Items (HVI) and/or Firearms. These visual indicators make sensitive items easier to identify on inventory documents and internal reports while keeping all condition-related information centralized with the item.

This article explains how to apply these markings in the Crew App and where they appear throughout SmartMoving.


Before You Start

To mark items as High Value or Firearms:

  • You must be using the Crew App

  • The job must be using Descriptive Inventory

  • Your crew role must have permission to create or edit inventory items

Note: High Value and Firearm markings do not introduce any additional signature or initial requirements. They rely on the same signatures already captured for Descriptive Inventory documents.


How to Mark an Item as High Value or a Firearm

High Value and Firearm designations are applied when adding or editing an inventory item.

Where to Apply the Markings

You can apply these markings from:

  • Add Item drawer

  • Edit Item drawer

Steps

  1. Open the Add Item or Edit Item drawer.

  2. Scroll to the Additional Details section.

  3. Select one or both of the following options:

    • Item Is High Value

    • Item Is Firearm

  4. Save the item.

Note: An item can be marked as High Value, Firearm, or both.


Where These Labels Appear

Once applied, High Value and Firearm markings appear as visual indicators alongside the affected inventory item across SmartMoving documents and reports.


Descriptive Inventory Sheet (Shipper-Facing)

On the Descriptive Inventory sheet:

  • High Value and Firearm labels appear inline with the item in the Condition at Origin column.

  • Labels are displayed at the beginning of that item’s condition text.

  • Labels are shown in bold text using the following copy:

    • HIGH VALUE

    • FIREARM

  • The row for the affected item is visually highlighted.

If an item has both designations, both labels appear together (for example, HIGH VALUE | FIREARM).

These labels are visual indicators only and do not require additional shipper initials beyond the standard Descriptive Inventory signatures.


Descriptive Inventory Report (Office and Accounting View)

In the Descriptive Inventory report:

  • A badge appears in the Packing Type column for flagged items.

  • Badge values include:

    • HVI for High Value Items

    • FIREARM for Firearm items

  • Items marked as both display both badges.

This allows office and accounting users to quickly identify sensitive items without opening individual inventory details.


Condition at Origin Column Behavior

High Value and Firearm labels are displayed within the Condition at Origin column for the specific item they apply to.

  • Labels appear inline with the item, not at the top of the column

  • Labels are listed before other condition details for that item

  • Text is bolded and the item row is highlighted

This keeps all exception-related information tied directly to the item itself.


Activity Log Entries

Whenever an item is marked, SmartMoving records an entry in the Opportunity Activity Log.

These entries provide a clear audit trail showing when and how the designation was applied.


Voided Items and Shipper Initials

If an item marked as High Value and/or Firearm is later voided:

  • The item’s visual indicators remain reflected in historical documentation

  • No additional signatures or initials are required as a result of the designation


Check PDF Documents

The Check PDF automatically reflects High Value and Firearm designations:

  • Labels appear as HIGH VALUE and/or FIREARM

  • Styling matches the Descriptive Inventory sheet

  • No additional setup is required

Mark High Value and Firearm items as soon as they are identified. This ensures clear visibility across all inventory documentation and reports from the start.
