Managing Credit Card Fees in Storage Settings

Manage, waive, and display credit card fees for storage payments - per account, payment, or invoice - using SmartMoving's storage settings.

Where You Can Waive Credit Card Fees

I. When Creating a New Storage Account

During account creation, you'll see an option to waive the credit card fee for that specific customer.

Note: This option only appears if the warehouse has credit card fees enabled.
If selected, the customer will never be charged credit card fees - even if the warehouse normally applies them.

II. When Manually Taking a Payment

At payment time, you can waive the credit card fee for a specific transaction without changing the account’s default setting.

III. On the Storage Account Settings

After a storage account is created, you can update the waiver setting at any time:

  • Go to the Customer Info tab.

  • Toggle the Waive Credit Card Fees setting on or off to apply the change to all future recurring charges.

💡 This setting controls whether fees apply to all credit card payments (both automatic and manual), unless waived manually per transaction.

Document Tokens for Storage Credit Card Fees

You can display estimated or actual credit card fees on documents using tokens. These are useful for quoting charges, customizing invoices, or breaking down costs for your customers.

You can insert these tokens into storage invoices or templates via:

  • Settings > Forms & Documents > Document Library or click here to go directly to the page.

💡 Tip: Use these tokens in tables within your invoice or estimate templates to clearly show credit card fees to your customers.

🔎 Note: Estimated fees show what would be charged if a customer paid by card. Actual fees only appear after a card is used.

Where Credit Card Fees Appear

  • Invoices:
    A “Credit Card Fee” column will show the charged amount on storage invoices once a card payment is processed.

  • Payments & Credits Table (on the storage account):
    Displays the credit card fee amount applied to each payment.

Additional Notes

  • If a payment is made before an invoice is created, the fee will appear in Unbilled Charges until it's added to an invoice.

  • Multiple payments on a single invoice may apply multiple fees; a tooltip helps flag this to avoid confusion.
