Note: This is an October 2024 update to the Storage Module.

Problem Overview

Previously, users encountered an issue in the Storage Module when applying credits and auto-charging to ad-hoc or on-the-spot invoices. The issue arose when a credit was applied to an invoice, and the user had a saved payment method. While the credit would be applied, the system was unable to process the payment automatically if the invoice was converted with the auto-charge option enabled. This required additional manual intervention, which disrupted the automation process that many customers relied on.

The latest update resolves this issue, allowing the system to successfully apply credits and automatically process payments when auto-charging an ad-hoc invoice with a saved payment method.

Note: The automatic monthly storage invoice already has this functionality when the following conditions are met:

  • Auto charge is set up

  • There are credits with a remaining balance before the invoice is generated

  • There is a saved payment method.

What’s New

With this new functionality, SmartMoving now enables auto-charging of ad-hoc storage invoices, even when a credit is applied, and a saved payment method is present. This ensures that both the credit and the payment are processed automatically without any manual intervention.

Step-by-Step Guide to Using the New Functionality

  1. Access the Storage Module:

    • Navigate to the Storage module and locate the specific account that has unbilled charges.

  2. Add a Charge to the Account (if needed):

    • In the Unbilled Charges section of the storage account, you can add any charges that need to be billed by selecting Add Charge.

  3. Apply Credits (if needed):

    • Use the Add Credits button to apply any credits to the account. Credits will be applied to the invoice during the conversion process.

  4. Ensure a Saved Payment Method Exists:

    • Confirm that a saved payment method is associated with the account. This is essential for the auto-charge feature to function properly.

  5. Convert the Charge into an Invoice:

    • Select a charge or multiple charges in the Unbilled Charges section and convert the charge(s) into an invoice by selecting Invoice Now. During this process, select the Auto-Charge option to ensure the payment is processed automatically.

  6. Verify the Invoice:

    • The invoice will now show both the credit and the payment have been applied automatically.

Note: Credit card charges are only applied until the balance reaches zero. If all credits have been applied and the invoice balance is fully settled, the saved payment method on file will not be charged.

Benefits of the Update

  • Full Automation: Once set up, the system will automatically apply both credits and payments, saving time and reducing manual tasks.

  • Error Reduction: This fix eliminates the need for manual intervention when applying credits with saved payment methods, reducing the risk of human error.

  • Efficient Invoicing: Auto-charging invoices now works seamlessly, even in cases where credits are involved.

With this enhancement, users can rely on SmartMoving’s automated storage billing process to handle both credits and payments efficiently, ensuring a smooth workflow.
